Hi, I created a workflow to trigger email notifications when a contact in our sales hub was added again through a form submission.
The purpose of this workflow is to notify our sales reps when a lead that has already been added to our sales pipeline a while back is re-engaged from another marketing campaign.
The workflow I created has started rolling out email notifications for every contact that is being added to our HubSpot.
Can you share a screenshot of the enrolment triggers? Without them it is hard to tell what is happening and why. Are you making use of the contact owner property/functionality, i.e. are contacts assigned to sales reps?
If so you simply create a workflow that triggers upon any form submission to then notify the contact owner, that should do the trick.
Thanks
Frank
Sure, here’s a screenshot:
Right now we’re assinging contacts to our sales reps manually on a team level. Since I’m creating this workflow for contacts that are already existing in our sales hub, the contacts in question will already be assigned to our sales reps.
The end goal of this workflow is to generate an email notification that alerts a contact owner that a contact that they worked on (for example, a few months ago when it first entered our sales hub CRM) has been added to the CRM again.
Right now, what happens is that when an existing contact is entered again, there’s no way to highlight the fact that the said contact was entered into our pipeline again.
And what exactly is happening now, or isn’t happening?
Strictly speaking, contact don’t gett added again to the CRM.
What HubSpot does is it either associates the form submission with an existing contact (the email address is the unique identifier) or it creates a new contact.
My suggestion would be to do this at form level under the options tab, see screenshot below.
Simply check the “send submission email notifications to the contact’s owner”, existing contacts will have an owner, new contacts won’t. You can also see my default settings are to make any any new form submission a lead, which is something you can define centrally under Setting > Data Management > Objects > Contacts > Lifecycle Stages.
I hope that helps.
Frank
