We have created a form for lead generation. The data is transferred to HubSpot at the contact level. We are encountering errors when creating a company or assigning a contact to a company. Currently, two companies are being created for each submission: one based on the email domain and one based on the entry in the corresponding form field. How can we resolve this?

Additionally, you likely have company fields in your form — this can also trigger company creation independently of the setting above. That is probably the reason.
Which company fields are you collecting? Is the Company domain name field included? HubSpot uses this for matching and deduplication. If it is missing, but HubSpot then creates a company based on the email domain, you will end up with a duplicate.
If you can confirm which fields are currently in the form (and which object they belong to), I can better assess the best way to proceed.
For example, if only the Company name field from the Company object is included, simply use the Company name field on the Contact object instead, and the issue should be resolved.

Hello @karstenkoehler, we ask for the company name in the form, which is linked to the corresponding contact property. The email address is also a required field in the form.
@Lena1 so that means there is definitely not a single field from the company object in the form?
Then either a workflow or an integration is creating a duplicate company record.

@Lena1 then — as I mentioned in my previous answer — you would either need to replace the phone number with a contact number or additionally ask for the company’s domain name.
Hi @karstenkoehler, the phone number cannot be linked as a contact property. How does the domain lookup help with my issue? Doesn’t HubSpot already identify the domain based on the email address? We are more looking for the option to allow the user to specify the correct company name, e.g., including the legal form such as GmbH, and to have this used primarily over the domain.

Phone number: the contact’s primary phone number. The phone number is automatically validated and formatted by HubSpot based on the country code. You only need to enter the country code. You can disable the automatic formatting of a contact record if you edit the Phone number property or add a phone number for a call.
This phone number would also be displayed when calling from the company if you click on the handset icon.
Doesn’t Hubspot recognize the domain based on the email address? We are rather aiming for the possibility that the user can specify the correct company name, e.g., with Ltd., and that this is used primarily, ahead of the domain.
HubSpot expects the company field “Company domain name” - the “Email domain” field is not taken into account if there are other company fields in the form.
