A customization can meet every requirement and still make the system harder for users if it adds too many steps or exceptions.
I’d probably start with the simplest workflow possible, test it with the actual users, and only add custom objects or automation where there’s a clear benefit. Adoption is often a bigger factor than the technical implementation itself.

A few things that have worked well for me:
Simplify the process before automating it.
Build around how users actually work, not just how the old system worked.
Keep integrations and automation logic documented.
Treat governance as part of the implementation, not an afterthought.
The highest-ROI customizations tend to be the ones that remove repetitive manual work—lead routing, data updates, notifications, and reporting—without adding complexity for the end user.
The goal should be: fewer clicks, fewer workarounds, and less thinking about the CRM.
