One of our team is making calls and sending emails and these details are not updating. Whereas, most of mine do update. We are both using the same methodology i.e. calls and emails outside of Hubspot. the notes or emails show in Hubspot but do not register as a contact or engagement. I am not sure if this makes it any clearer.

Let’s look at the definitions of these properties:

  • Last engagement date: the last date and time of one-to-one email opens and clicks, lead revisit notifications, meeting bookings, and form submissions on the contact record. This is set automatically by HubSpot based on the date/time set for an activity when it’s logged on the record only when the Contact owner property has a value.
  • Last contacted: the last date and time a chat conversation, call, sales email, meeting, or message was logged for the contact. This is set automatically by HubSpot based on the latest date of the activities in the record. For example, the Last contacted property in the record will show yesterday’s date when a user logs a call that occurred the day before.

So it’s important to look at the details here. If the Last engagement date is not populating, have you checked whether these records have an assigned Contact owner? You’re saying that calls and emails are created from outside of HubSpot – how exactly?

Can you double check whether the above definitions/criteria are fulfilled / not fulfilled where you’d expect the properties to update?

As far as I can tell, all the criteria is met although it is not recording the Last Engagement or Last Contacted.

RE: Communications made outside of Hubspot - Al that was meant is that calls are not being made from within Hubspot and emails are not being sent using the Hubspot platform. Calls are made from a VOIP or mobile phone and notes recorded in Hubspot. Emails are sent via Outlook and are automatically recorded in Hubspot using the Outlook addin.

The :smiling_face_with_horns: is in the details: If calls are not created as activities and if you’re ‘only’ creating notes, than this would not update any of the two properties. Notes are not included in the definition and for a call to influence these properties, it would have to be created as a timeline event.

Sent one-to-one emails will/should only update Last contacted, not Last engagement.

Can you please check whether you can find a contact record that has a logged email with a timestamp later than the last date recorded in Last contacted?

If not and if I understood you correctly, then the properties seem to work as expected.

So how can calls be registered as activities? I am not sure what a timeline event is.

At the moment emails are not registering under Last Contacted for the other team member

You can manually log a call, use the HubSpot calling feature or integrate a third-party calling solution. If you’re not doing this, then the call will not appear on the timeline: Filter activity index pages and record timelines

If it’s not there, it won’t update the properties.

So the email is showing on the contact timeline (see link above) but Last contacted does not reflect it? In that case, this would be a bug. Please confirm. If you could be specific in your replies, that will speed up troubleshooting.

I am still lost. As far as I can tell we are doing everything as we should be. We must be overlooking something. Could I give you access to have a look?
