One common problem I keep noticing:
You can’t turn a HubSpot quote into a Xero invoice directly.
Instead, people are stuck copying everything manually into Xero, which kills the whole point of integrating the tools.
I’m trying to understand how teams are handling this today. Have you run into this? Built a workaround? Just dealing with it?

Yeah, this is a really common issue for teams using both HubSpot and Xero. You’re absolutely right, @abenezer_mel that limitation between HubSpot Quotes and Xero Invoices has been a pain point for years.
Out of the box, HubSpot doesn’t natively convert a quote into a Xero invoice. The official integration only syncs contacts, deals, and invoices created in Xero, not quotes generated in HubSpot (https://knowledge.hubspot.com/quotes/create-quotes).
That’s why users end up copy-pasting line items manually.
The only native workaround today is to rely on workflows to push deal or quote data into Xero via a third-party connector.
Tools like Cloudify or Zapier can create a draft invoice automatically when a deal moves to “Closed Won,” but the field mapping (especially taxes, SKUs, and discounts) still requires care.
If your finance team needs full consistency between quote and invoice objects, you’ll likely need a two-way sync that keeps both platforms updated in real time. When this hinges on reliable two-way sync, Stacksync handles the mapping and timing so quotes, invoices, and custom objects stay consistent without manual patches.
Still the situation in mid-2026, unfortunately — and it recently got worse: the Xero-built HubSpot connector was retired on 13 March 2026. The current options:
- Native Data Sync (free). Syncs contacts and invoices that already exist in Xero into HubSpot. It still doesn’t turn a HubSpot quote or deal into a Xero invoice, which is the gap in this thread. It’s rated 2.2/5 on the App Marketplace right now.
- Invoice Stack ($49/month). The established dedicated tool, well reviewed, priced for mid-market — the Starter plan covers up to 50 deals a month.
- Zapier/Make. Workable, but keeping line items intact is notoriously fiddly.
Disclosure: I’m the maker of QuoteBridge, a small tool built for exactly this gap — when a deal reaches a stage you choose, it creates a draft invoice in Xero with the deal’s line items, coded via a product → revenue account mapping you define. If you invoice more than ~50 deals a month, Invoice Stack is probably the safer pick today.

HubSpot’s current Xero data sync makes it easy to create Xero invoices directly from HubSpot invoices. This is a great fit for teams who handle deals or quotes in HubSpot and then generate payable invoices or subscriptions from there.
Please note that only invoices created in HubSpot are included, draft invoices are excluded, and invoices need to be marked as Open before they’ll sync over to Xero.

One small clarification for anyone reading: the native Data Sync creates a Xero invoice from a HubSpot invoice, so you still build that HubSpot invoice and its line items by hand first — which is the manual step this thread is about. QuotesBridge goes straight from a closed deal to a Xero draft. Really appreciate it!
