Hey @Keeth, a big warm welcome to the HubSpot Community!
Thanks for reaching out!
I’d like to share a few things that might help:
The daily task digest requires at least three tasks completed in the past 17 days. It is prepared at 6:00 AM and sent at 8:00 AM in your HubSpot user time zone. It will not send if you have no tasks due that day, and tasks created between 6:00 and 8:00 AM won’t appear in that day’s digest.
For individual reminders, open a test task under CRM > Tasks and confirm it has a due date, a specific reminder time, and you as the owner. The reminder must be configured on the task itself; enabling email notifications alone does not create a reminder.
Check Settings > Notifications > Tasks and confirm both task email notifications and Task daily digest are enabled, then save the settings again.
Also, I was wondering, does the workflow that creates tasks, creates them via API?
Could you please try to manually create a task due in 10–15 minutes with an individual reminder and see whether that notification arrives?
Yes, as I outlined in my original post, I had checked and doubled checked all of the settings that you mentioned. I am aware of the difference between the digest and individual reminders and have both of these options toggled on in the Settings > Notifications > Tasks sub menu.
I was not permitted to include a screenshot of the test task in this reply. However this (now overdue) task has a:
Due date
Specific reminder time
I am the own
individual task reminder is enabled
I am currently using HubSpot free. Could it be that HubSpot changed their policy around task reminders for free customers?
The daily digest and the individual reminders are two separate things, so it’s
worth finding out which of them broke before you change any settings.
Check whether both stopped at the same time, or only one of them. If both
went at once, the cause is more likely something at your user level than
anything on the tasks. If only the per task reminders stopped the reminder on
the task is where I’d look
Open a task from before it broke next to one created after, and compare the
reminder on each. If the older one has a reminder time on it and the newer one
does not, the break is at the point the task gets created and not at the point the
email should be sent.
If something other than you is creating these tasks, which I think is what
Bérangère is getting at, open that and check whether a reminder is set on the
step that makes the task. All your notification settings can be correct while
no reminder was ever put on the task.
One caution on the test task. A task you make by hand today isn’t the same as
the ones that stopped. If it fires, you’ve learned that the plumbing works, not
that your existing tasks are fixed.
Since manually created tasks have the correct due dates, reminder times, ownership, and notification settings, and neither individual reminders nor the daily digest arrived, let me investigate internally for you.
It’s strange that you’ve completed all the necessary steps but are still not receiving the notifications.
Could you please double-check whether the Reminder option is enabled within the automation? I’ve attached a screenshot below for reference.
Also, could you please verify that the Reminder option is enabled in your settings as well?
Please have a look and let me know if everything makes sense or if you’re still experiencing the issue.
