WhatsApp contact automation and control

Hey everyone, I’m looking for guidance on building sales contact automations, specifically ones that include WhatsApp.

What I’m trying to set up is a sequence that automatically sends 1–3 WhatsApp messages and 1–3 emails, with logic to pause the entire sequence if the prospect replies on either channel.

I’ve spent a lot of time exploring HubSpot, plus a few accessory tools and integrations, but haven’t landed on a setup that feels solid yet.

Has anyone built something like this? Would love to hear what’s worked (or what to avoid). Thanks!
Btw, I have Marketing and Sales Hub Pro contracted.

Hey @HBernardes,
Thanks so much for posting in the Community!
Can you share more context around where you’re currently stuck in this process? Specifically, I’m looking to clarify if you’re asking for for general best practices, how to initiate WhatsApp messages, how to pause the sequence, or something else.

What you’re describing is definitely doable, but the tricky part is syncing WhatsApp + email events in real time so the pause on reply logic stays reliable usually needs a solid middleware or automation layer on top of HubSpot. Keeping the workflow rules clearly mapped out also helps a lot, and using a third part app can make those sequence conditions and messaging logic easier to document and avoid mistakes.

Build the sending side in Workflows, not Sequences. Sequences only do email, task, call and LinkedIn-task steps, so they can’t send WhatsApp at all.

In a contact-based workflow you can mix Send email and Send WhatsApp message actions (Communications) with delays in between. The Send WhatsApp action needs your WhatsApp channel connected and a template that’s “published for automation” (your Marketing Hub Pro covers this), and you need verifiable opt-in consent before that first WhatsApp send.

The honest catch is the “pause if they reply on either channel” part. There’s no native trigger or property for an inbound WhatsApp reply, so HubSpot can’t unenroll a contact when they reply on WhatsApp. Email gets you close: turn on email reply tracking and add an unenrollment trigger (workflow Settings tab) on “Marketing email replied is greater than 0”, so they drop out at the next step. Just know contacts aren’t unenrolled while they’re sitting in a delay, only once they reach the next action. To actually pause on a WhatsApp reply you’d need a third-party tool (Zapier/Make/Twilio) to catch the inbound message and update a property the workflow can unenroll on.
