For a bit of context, we are using native HubSpot to Chargebee integration (Quote to Cash). However, I did warn the team about its limitations, but due to lack of time, we decided to go with native integration with some workarounds, which worked OK, like introducing the custom property sale type for product led growth, hybrid growth, sales led growth, migration, etc.
With that said, while in the current volume it is manageable, but in the future, when the number of leads grows in number, it will create duplicate deals or overwrite the existing deal in closed won, which is awful.
I’ve already scoped the custom integration, but I’m also exploring if I could rather use Zapier or n8n for the purpose because I don’t want product led growth and trial to clutter my pipeline. If anyone has done this before, what do you suggest would be the best way to integrate and why?
Custom Integration (Serverless via AWS), n8n, or Zapier.
Is there a chance that you can use the hybrid approach like native Chargebee integration (inside configuration) and then use n8n or something? But yes Data Hub Pro can definitely be a good option, but that Chargebee webhook throws out a lot of unnecessary data points. lol. Zapier makes that job a bit easier, but like you said, the number of tasks soon makes it a bad choice for scalability.
Oh yes, I think I did not use HubSpot Data Hub Pro due to one limitation, and i.e. Chargebee only lets you have 5 webhooks max, and n8n can resolve that with subworkflows.
I think the duplicate/overwrite concern you mentioned is one of the important things to solve before deciding between n8n, Zapier or the custom route.
As the volume grows, I’d want to be very clear on what tells the integration “this is an existing deal, update it” versus “this is genuinely a new deal, create one”.
I’d also protect certain states like closed-won from being overwritten automatically.
Where the match isn’t clear enough, I’d rather flag that record for review than let the automation guess. Otherwise you can end up scaling the data problem together with the integration.
Just another angle I’d consider before choosing the tool.
That’s infact the biggest concern. The native integration overwrites the existing deal and can only deal with the single pipeline. I am currently exploring n8n and zapier to see what goes on better with the integration.
I’d recommend deciding first what data you actually need to sync between Chargebee and HubSpot. For example, customer details, subscription status, plan changes, invoices, and cancellations may all need different workflows.
For a straightforward setup, an integration platform such as Zapier or Make can work well, especially if you only need a few automated workflows. If you need more advanced two way syncing or custom logic, using the Chargebee and HubSpot APIs would give you much more control.
I’d also suggest testing the integration with a small number of records first. That makes it much easier to catch duplicate contacts or incorrect lifecycle updates before rolling it out to the whole database.
Instead of adding recurring tool costs associated with Zapier or n8n, I recommend implementing a serverless custom integration using AWS rather than incurring recurring tool costs associated with Zapier or n8n. This approach offers greater control over creation and update logic, which is essential for preventing duplicates or unwanted overwrites as data volume increases.
While Google Apps Script could serve as a simple, low-cost alternative if the integration is lightweight and the team already utilizes Google Workspace, I believe AWS Serverless provides a more scalable and robust solution.

We wouldn’t need two way sync between Chargebee and HubSpot. Mainly the data related to subscription, plan chances, cancellation, invoices, quotes, customer details, and change in subscriptions (upgrades, downgrades, etc. ). In this scenario, which would you prefer?
