We have a subscription preference page that includes each of our “subscription types,” which people get to by clicking on “manage preferences” at the bottom of our emails.
I’m now trying to create a form that we can put on our web site to invite people to sign up for our various types (sign up for our newsletter, our events list, etc.). I assumed there would be a way to tie the form directly to subscription types, but am not seeing a way to make this happen. I understand I could create a workflow that has steps to check to see if the person filled out this form and selected to be added to each subscription type and then change the property to “opted in” for each particular subscription type they’re intersted in. This seems very convoluted though.
You can include checkboxes for subscriptions in your form, see a quick screen recording here. Admittedly, this setting is a bit hidden. This would, in my eyes, be the best and most straight-forward option. HubSpot would not show an active subscription in this form in the sense that a box would be pre-checked, however. (This behavior could only be achieved with a convoluted workflow solution.)
If for some reason you can’t work with these default subscription checkboxes, you’d have to create custom properties for each subscription type. Based on these single checkboxes, you could enroll contacts into a contact-based workflow (one for each subscription) to update their subscription status. I’m not a fan of this solution because it’s very ambiguous (does an empty checkbox correspond to an opt-out or is the contact simply not opted?). You’d also building a parallel system to HubSpot’s own subscription logic which is complex enough already. I’d recommend option 1 above

If we use option 1 (subscription checkboxes), does this mean that if someone checks a box for a particular item, they will be added to that subscription list automatically or would we need to create a workflow with a trigger of the person filling out the form and have steps to add them to whichever lists they’ve requested?
Whether they’ll be added to your existing lists I can’t say, that depends on the list criteria. But the opt-status would be updated for these contacts, yes, and you could identify them via a list such as the one below:
