View Calendar Details When Booking On Behalf of Other Users

Hi there,

When booking on behalf of another user, I’d like to be able to see the details of that user’s calendar bookings. Ideally, this would be something that could be toggled on/off based on a user by user basis.

The use case is that we have a user that books meetings on behalf of someone that does site visits. Typically, the address of the site visit is included in the meeting name and influences where and how we schedule other site visits. With only seeing ‘Busy’ it makes it difficult to effectively schedule directly from HubSpot.

Side note: I believe this was the behavior when the booking on behalf of other users feature first went live. I can see why it would’ve been changed but having the ability to grant that visibility would be very helpful.

It doesn’t make any sense that you can’t see the title of a meeting booked in HubSpot in the organizer’s calendar when you are booking meetings on behalf of others. I can understand why you might not want the title of a user’s private meeting or doctor’s appointment to show up, but if it’s a meeting created and logged in HubSpot, you can see the meeting title and information in the activity feed, so I don’t understand why the title of these meetings are blocked from appearing in the calendar.

Fully agree, for companies where inside sales is booking in meetings in the field it is essential they see more location details so they can anticipate i.e. travel distance. Please update asap.

We also have a usecase where seeing the title and description of meetings would be helpful for BDRs booking meetings on behalf of BDMs! This feature would be more useful if it allowed full visibility into someone’s public events and shared calendars, like OOO time.

Full visibility within Hubspots calendar function when booking meetings for colleagues should be brought into any future updates, showing every calendar log as “busy” doesn’t tell the whole picture, we should atleast be able to see if they are online or f2f appintments, or in/out of office.

+1 on this thread. Everything said is the exact problems we are facing by using hubspot meetings tool outright.

Please tell me someone has find a bypass! This is a nonsense to have a prospectig tool where you can book meetings for other people and not being able to see where their previous meetings takes place!

Hello, we also need this feature. The “busy” calendar block does not help to our business case

The Business should be able to control the visibility of meeeting details vs the vendor. Ideally, the security settings should let us create a groups of Users that have Visibility into specific Calendars.

Seconding this request. No work around that I’ve been able to find at time of posting. Users can see their own meeting details in the schedule, but other users (including admins) can’t see the details, or even the title of the meeting.

In our case, even just meeting title instead of “busy” would at least be enough to add missing context. Alternatively, only allowing admins or specific priveliged users to see meeting titles would work. Asking our teams to just pull up Google Calendar to look at meeting details technically works, but is antithesis to our goals of simplifying day-to-day operations by working primarily within HubSpot.

I would really like to have this option! This is very important in our business to be able to see our salesmans calendar and been able to schedule an appointment when they are out of office. We schedule clients by city and area so to be able to see the description of meeting is crucial to our business operations. PLEASE make this available ASAP!

Not having this feature requires our team to have two compters so we can see our saleman calender to schedule appointments.

+1 our BDRs have to open up a separate tab to check the AEs calendars in order to effectively schedule.

100% necessary feature for a CRM system imo.

My organization has the exact same use case - site visits where the booking agent needs to see the details (or at least the subject line) of the user’s calendar appointments who they’re booking for. Not sure how Hubspot interacts with Outlook, but for instance, in Outlook we have the salesperson share their calendar with full view permissions with the booking agent. If Hubspot could see that and show calendar data based on those permissions, it would be great. OR if the salesperson could grant permissions in Hubspot to show meeting titles/details in the Meetings interface on the contact/deal record for the booking agent, that would be huge. All the other functionality around this is great, but without this, the booking agent has to bounce between Hubspot and Outlook. This is so close to being viable…

100% need this feature - I want my sellers off extenal caledars but lack of this feature just sends them there and things are not logged correctly.

Thanks for your patience and your feedback on this! I’m happy to share that the ability for users to share their calendar details in HubSpot is in private beta!

This means that you will be able to request access to join the beta by navigating to the product updates section of your HubSpot account. Just search for the beta called “View calendar details when booking meetings on behalf of other users”. Hopefully this makes it easy to find given that it matches the name of the post that @C_Pierson started here!

Since this is a private beta, you’ll need to request access. I’ll be approving access to individuals each day and reaching out for feedback to ensure the feature is working as expected prior to opening the beta up to a larger number of users.
