Using Zapier for Hubspot+Xero integration

Hello!

I have worked out how to map a paid invoice from Xero onto the Annual Revenue field on Hubspot using Zapier’s API. But I want to map over the total amount of paid invoices to an individual.

How do I do this? We are a charity, not a business so payments can be made both like a subscription and as one offs, but I still want a total paid to appear somewhere on their contact profile on Hubspot.

While I don’t see a native way to copy the Annual Recurring Revenue (ARR) to the Contact record, if you have the Amount or ARR set for a Deal, we could use the Contact property Total Revenue to see the total dollar amount of all associated deals that have been closed as won for that individual Contact. -see HubSpot’s default contact properties
Do you want to test this? If you go to a contact record with an associated deal that has been won, and View All Properties > search for Total Revenue, do you see this value populated?

Thank you! I’m so close, as this should indeed work. But still stuck. I have managed to customse the API to turn a payment into a closed deal on HS, but can’t get any contact information to pull through. It shows up from the Xero side, but I can’t find the ‘associate with contact’ option when setting up the API on the HB side.

So it sucessfully creates a closed deal, but it’s not showing up on Total Revenue because there’s no contact associated with the closed deal.

I feel like I’m missing something very obvious.

Have you checked out HubSpot / Xero integration to see if this would provide the associated contact in relation to the deals?

If most of your Xero invoices aren’t linking to the correct customer in HubSpot, the issue likely lies in mismatched identifiers. Start by checking if the customer emails in Xero match the emails on HubSpot contact records—this is the most common linking method. Also, verify that the contacts in Xero are not missing essential fields like email or name, which are required for proper sync. Make sure your HubSpot-Xero data sync settings are configured to include customer and invoice associations. Review the sync logs in HubSpot for any errors or skipped records, and confirm that the contacts aren’t marked as inactive. Finally, try syncing a few records manually to identify consistent mismatches.
