Using HubSpot CRM to Automate Guest Communication for Vacation Rentals

Hi everyone,

I run a short‑term vacation rental business (escape24.ae), and I’m exploring ways to better use HubSpot CRM and automation for guest communication and bookings.

Specifically, I’m looking for advice on how to:
- Automate booking confirmations and pre‑arrival emails
- Segment guests based on stay history or preferences
- Set up workflows for upselling add‑ons or local experiences
- Track guest satisfaction and follow‑ups

Has anyone implemented HubSpot tools for a vacation rental or hospitality business? What strategies worked for you, and what did you avoid?

Thanks for sharing your use case, vacation rentals are a really interesting application for HubSpot’s automation tools!

I believe that workflows, sequences, and contact properties could be leveraged for a lot of what you’re describing!

First of all I’d recommend reading this article to understand email sending in HubSpot and also this one about transactional emails add-on. Your upselling emails would definitely fall into category of “Marketing emails” and while booking confirmations technically can be done in the same way, Marketing Emails have certain limitations (like contacts need to be subscribed, be able to unsubscribe, be set as marketing contacts on paid tiers and so on) so maybe transactional emails would be a better option for confirmations and pre-arrival emails.

You will need access to at least Pro tier to set up proper workflows and Service Hub might be a useful thing here to cover guest satisfaction tracking and follow-ups (or you could just have a custom property and a form you send them to have it in a more basic way).

And of course you can always create segments based on stay history or preferences as long as you capture said history and preferences in one way or another. I would imagine preferences as custom Contact properties and stay history as a Deal or a Custom object
