User Role: “Front-End Only” — No Access to Backend or Admin Settings

Summary

Introduce a user type that only has access to their own personal profile and preferences (e.g., name, email, password, notification settings). These users should not see or access account-wide backend settings such as Account Management, Data Management, Properties, Integrations, or Security.

Problem

Currently, even the most restricted user roles in HubSpot can still see large portions of the backend navigation (Account Defaults, Users & Teams, Properties, etc.). This creates unnecessary confusion, clutter, and potential risk. Many users — such as contractors, freelancers, or external contributors — only need to use HubSpot’s front-end tools (CRM, Sequences, Tasks, Tickets, etc.). They do not need or want access to backend settings.

Below I highlight most of the things some team members do not need to see. These should be able to be permission/user based, same as the CRM.

Requested Capability

  • A new role or permission set that limits backend visibility completely.
  • The role should allow:
    • Viewing and editing one’s own personal profile and preferences (email, password, notifications, signatures, connected inbox).
    • Access only to the specific tools/features assigned (Contacts, Deals, Tickets, etc.).
  • The role should hide backend navigation entirely from the sidebar/menu, preventing unnecessary exposure to account-level settings.

Example Use Cases

  • Contract sales reps who only need CRM records and their own inbox.
  • Support agents who should only handle tickets and personal preferences.
  • External consultants who only need temporary deal or contact access.

Benefits

  • Cleaner, simpler UX for limited users.
  • Reduced training needs (fewer irrelevant menus).
  • Stronger data governance and security by ensuring users never see or attempt to access backend settings.
  • Avoids mistakes or support tickets caused by users exploring menus they shouldn’t touch.

Impact

High impact for organizations with large numbers of front-line users (sales reps, SDRs, contractors, agents, etc.) who need the simplest, safest interface.

Agreed, it’s really confusing when training out HubSpot that you have to tell users to ignore 75% or more of the menu items on their screen. There should be a “streamlined” option whereby users aren’t shown the things they don’t have permission to use.
