Use existing Product Library for Line Item Import on Deals

I have a list of new deals I am importing into Hubspot. I want each deal to have multiple line items associated with it. My product library is already built out with Line Items and Unit cost. I want to utilize those existing products for the line items for each deal. I cannot figure out how to set up an import to achieve this. Importing Line items keeps asking for Unit price (which is already in the library) and Record ID. I went ahead and uploaded all Deals first so I could have Deal Record ID’s associated with each line item in my import. I also have Line Item Record ID’s pulled from my product library. But when I go to import Hubspot is telling me that my Record ID’s are not recognized for line items. But You can see below that the Record ID exists in the Product Library.

Hey @JLethin not totally sure if it would work but instead of trying to associate Deal <> Line Items can you try to do it by Product (using SKUs) I think they’ll gather and end up as Line Items.

Do you mean use the Product SKU as the Line Item Record ID when I’m doing an import? I don’t have SKU’s on all my products but I can add them. I tried using the Product Name as the Record ID and it also found errors with all of them.

I had to first upload all of the deals on there own, then use the record ID’s created for a second import and associate those Deal Record ID’s to each line item

Hi! How did you solve this? Cause I have the same issue, I succesfully associate line items with Deals BUT it doesn’t recognize that the line items use the same products that I have on my Library

I tried doing just create Line Items because I saw another post saying that had to be used to add line items to existing deals. It says I can use either All 3 Or just map quanitiy. But even though I have a check mark on Quantity it’s not letting me.

How to Successfully Import Line Items and Associate Them with Deals

Import Setup

When setting up your import, make sure to select “Deals” and “Line Items” as your objects.
Also, ensure that “Create and update line items” is turned on. A common mistake is that many users confuse Products with Line Items and only select “Update Line Items”, thinking this will prevent new products from being created. However, Line Items are a separate object that reference product information rather than duplicating it. For the import to work, you must create line items on a deal.

Required Columns in Your Import File

Your CSV file should include the following columns:

  • Deal Record ID → Ensures line items are assigned to the correct deal.
  • Line Item Name → Name of the product you want to add to the deal.
  • Line Item Quantity → Number of products being added. If adding multiple of the same item, combine them into a single row—separate rows for identical items may cause import errors due to duplication.
  • Line Item Price → If the product has a unique price, enter it here. Otherwise, leave this blank to pull in the default product price from HubSpot.
  • Product ID (Product Record ID) → Associates the line item with an existing product in your HubSpot product library. Just copy the Product’s Record ID and sync it to Product ID in the import.

Why You’re Getting an Error with Product Record ID

This issue arises because you’re importing Line Items, not Products. Think of Line Items as a “wrapper” that holds product information inside them. If you try to import using the products Record ID alone, HubSpot will return an error because the system is looking for Line Item IDs instead. As no Line Items have that Record ID, it will not import.

Final Note

Once the import is complete, keep in mind that importing Line Items does not automatically update the Deal Amount. You’ll need to update it manually or generate a quote for the new total to reflect properly.
