We send out appointment confirmation emails with date and time, a contact tells us hers was for 12:45 when it should have been for 11:45 is there a way of seeing the actual email that was sent out of HS? Not the template or where they clicked. Thank you
Following on from this post I received one reply from a kindly member of the community, the follow-up email from Hubspot :
But I don’t have a reply I can mark as a solution, cynically it seems there is only one reply Hubspot is looking for, we need a button that says ‘No this did not solve my problem’.
In my case, it is essential to be 100% sure that the correct content is being pulled from the correct places to insert into my emails, being unable to see the actual emails being sent is a real problem that needs to be addressed.
You can go into that contact’s profile and view which emails were sent to her. If there is a lot of activity you can filter by just emails by clicking on the Filter Timeline drop down and de-selecting everything but Sales Emails and/or Marketing Emails.
Alternatively:
If you think you know the email, you can click into it under Emails and go to the Recipients tab and search for her name/email.
If you know the landing page the submitted form is on, you can click edit on that page under Landing Pages and then click the form. In there look under Post Submission Actions and see if Send a follow-up email is checked - that will give you the name of the email.
You can find the email under Workflows if you have an automated Workflow setup to send a confirmation email once a user fills out the form.
Hopefully one of these options answers your question!
Thank you Shearn for the detailed reply, but I want to see the Actual email that was sent, the email in question pulls the appointment date and time from the contact record, and on this occasion apparently pulled the wrong appointment time, I need to see the email that my contact received, as far as I can make out I can only see the template for the email.
If you’re using personalisation tokens I don’t believe there’s a way to see the exact email that was sent to the contact - unless it was sent from the Sales CRM from your Email Template Library.
If the appointment time in the email was wrong from the one in your contact’s record then the only things I can think of that would cause that would be that:
your contact mistakenly chose the wrong time when they submitted the form
the appointment time was manually changed
the contact could have filled out the form more than once, overwriting the appointment time and then looking at the incorrect confirmation email.
I agree, so much so I have asked the contact to send me the email, as yet not received !!! I imagine it was a mistake on her part… thanks for your help though much appreciated.
You can now view the exact personalized marketing email sent to each contact directly from their contact record. If you send an email using smart content, programmable email modules, or dynamic AI text tokens, you can access the fully-rendered version of what each contact received by clicking “View sent email” on their activity timeline. This view is available for 30 days after the email is sent.
Why does it matter?
When your team views a contact record, they can see that a marketing email was sent — but not what was actually in it. For highly personalized emails, this creates a visibility gap: sales reps don’t know what products were recommended, what content was highlighted, or what messaging the contact received.
Now you can give your entire team visibility into the exact email each contact saw, enabling:
Marketing and sales alignment: Sales gets the full context before they reach out, making follow-ups more relevant and informed.
Verification of personalization efforts: Confirm that dynamic content, smart rules, and AI-generated text rendered correctly for specific recipients.
Faster troubleshooting: Quickly identify and diagnose personalization issues by viewing the actual output on individual contact records.
How does it work?
Navigate to a contact record in HubSpot.
Find the marketing email activity on their timeline.
Click View sent email to open the exact version of the email that contact received.
The personalized email will be available to view for 30 days following the send date.
Looking for a permanent audit trail? If you need to retain copies of sent emails beyond 30 days for compliance purposes, we recommend using the BCC compliance copy feature instead.
