Upcoming birthday report and workflow

Hi :slightly_smiling_face:

We have a date field on the contact called birthday. We want to calculate the next upcoming birthday for each contact and show those in a report.

Have not found a way to do this. Calculated fields do not work, workflows do not work. Any ideas? We want to try doing this inside Hubspot. If not possible we will use the API and have it calculated outside.

Thanks!

Chris

Hi @CMayer,

Are you hoping to see the number of days until each contact’s next birthday? Or are you hoping to see a list that shows the next 5 contacts with birthdays? (or something like that)

Josh

Hi @Josh

we want a list / report of all next upcoming birthdays of the contacts.

Thanks,

Chris

Hi @CMayer,

Would an active list work? In the example below, I used 30 days. If you’re working with a larger list size, you might want to decrease that to 14 days or something shorter. You could combine this list with other filters as well and create a report from it that you could add to a dashboard.

Josh

@Josh I hammered my head against this for days … thanks this is perfect! :folded_hands:

one follow-up @Josh: how to make this work on the original birthday date (like 2. April 1974)? Then we would need a workflow to calculate the next upcoming birthday?

Hi @CMayer,

Yes…that does bring up an issue. I don’t believe HubSpot can set a property in the future from a workflow. However, you could use this approach to set a property called “Next Birthday” and have that recur annually. Unfortunately, you’d be bringing Zapier into the mix. If someone has a workaround to date stamp something for the future or a DD/MM date, I’d love to hear it!

Josh

Thanks @Josh I will look into this

This solution doesn’t work. The Active list only shows birthdays if the birth year is set to the current year. For the Active list to work, you must make someone’s birth year 2022. If you use their actual birth year, it does not work. Since it would take incredible work to update the birth year to the current year every year, this solution is not viable.

Hi @chrisbushnell hope you are doing well :slightly_smiling_face:

I have found this blog extremely useful when working with B-days and workflows.

Hope this helps,

Diana

Hi @CMayer,

Good news, there is a new product update which makes this a lot easier now:

Anniversary Filters

February 10, 2025

What is it?
Customers can now create filters for recurring events, such as birthdays and anniversaries, using date properties that do not require a specific year.

Why does it matter?
Previously, filtering by anniversary dates was complex. Customers often had to create a calculated property for the necessary date, serving as a workaround to identify anniversaries or birthdays.

This method was cumbersome, did not scale effectively with changes in date properties, and frequently resulted in errors. As a result, the ability to create anniversary date filters directly simplifies the process, making it both efficient and user-friendly.

How does it work?
Previously, generating a list to email contacts about subscription renewals after one year of using your product or service was not feasible.

Now, with anniversary filters, you can effortlessly create these lists by selecting your date property, choosing the appropriate operator, and selecting either “exact anniversary date” or “relative date anniversary” based on the chosen operator.

Note: The available operators that support anniversaries are “is between,” “is not between,” and “is less than X days ago/from now.”

When you select the “is between” operator and apply the “exact anniversary date” filter, here’s what you can expect your resulting list to include:

For example, if the anniversary date of joining falls between January 1st and March 31st, the resulting list will consist of all contacts whose joining date is within this range for any year up to and including the current year. Both January 1st and March 31st are included in the results

Note: All results will contain records with dates of February 29th if present (only if February 28th is present) agnostic of whether the current year is a leap year or not.
