For several weeks now, I have stopped receiving HubSpot task reminders via email, but this issue is affecting only my user account.
I have already checked the following:
- The email notifications for Task reminder and Task assigned to you are enabled.
- In-app notifications within HubSpot (the bell icon) are working correctly.
- I tried disabling and re-enabling the notifications, then saving the changes.
- I created new tasks with reminders, but the emails still did not arrive.
- Another user on the same portal continues to receive task reminder emails correctly.

Thanks for posting in the community! Could you ask the user to add HubSpot’s email addresses to their approved sender list by following the steps outlined here? This will ensure that ALL HubSpot emails reach their inbox without being blocked by email security filters. Let me know how it goes!

Hi @RAFAVELA, Since another user on the same portal gets these fine, that usually points to email delivery, not settings. Quick things to check is any bounce/suppression flag on your address (Settings > Email > Subscriptions)? Does your notification email match your login email? And has your mail provider’s spam filter changed recently? If all that checks out clean, it’s time to loop in support to check the send logs from their side.

Thanks for confirming @RAFAVELA That 2-3 week timing is the real clue here, did anything change around then, like an accidental unsubscribe click or a new inbox filter? Worth checking Settings > Email > Subscriptions on your own address too a false-positive bounce can silently suppress emails without any warning. If that’s clean, I think this one needs HubSpot Support to pull your actual send logs, since nothing on the front end will show a delivery failure like this. Keep us posted on what you find.
I use Outlook from Office to manage my email; I’ll check if there’s anything.

Thanks for confirming you’re on Outlook - that’s a useful detail since Outlook (especially Office 365/Exchange) sometimes applies its own mail flow rules or Focused Inbox/Clutter filtering separately from your regular spam folder, so a reminder could be getting redirected without landing in Junk at all.
Since another user on the same portal receives these fine, and you’ve already ruled out spam and notification toggle settings, here’s what’s worth confirming next:
- On the Outlook side: Check Settings > Mail > Rules, and also Junk Email settings, for any rule created around the time this started (2-3 weeks ago) that might be silently moving or deleting these emails. Also worth checking with your IT/mail admin if your organization manages mail flow centrally, since admin-level rules won’t always be visible to you.
- On the HubSpot side: Since you mentioned @chighsmith’s suggestion to allowlist HubSpot’s sending domains, if that hasn’t been done yet, please complete it to rule out silent filtering on the receiving end. Beyond that, checking your own email subscription status is the next step, since a past bounce or spam complaint on your specific address can suppress future sends without any front-end warning.

If you’ve checked both sides and everything looks clean, this is the point where HubSpot Support would need to pull your account’s actual send/suppression logs, since that visibility isn’t available from the front end.

According to me, I’ve already reviewed both, and everything should be fine. I run a very small business; I’m the super user in HubSpot, but I’m not the one who could configure Outlook—I’m the owner. Nothing has changed.
One thing I discovered: when logging in from another device or with a different browser, HubSpot sends you a PIN or code to verify your identity. Those emails do reach me.
That’s actually a really useful clue, if verification/PIN emails land fine but task reminders don’t, that rules out a broad email deliverability problem, since those come from a different sending system. That narrows it down to something specific to task notification settings on your user. Can you check Settings > Notifications > Tasks specifically (not just the general Email tab) to confirm reminders are toggled on there? If that looks correct too, this is one for HubSpot Support to check on their end likely a broken trigger for that specific notification type on your user.

Got it, since toggling it off and back on didn’t fix it, that confirms it’s not a settings/save issue on your end the trigger for that specific notification type is broken on the backend for your user. At this point I’d stop testing further and go straight to HubSpot Support with everything you’ve documented here (the PIN emails working, the toggle test, the timing). This one needs their team to look at your account directly.
