I just completed importing companies and contacts for a HubSpot installation. One of the import sources was a contacts spreadsheet exported from QBO. I did some data cleanup to make the data fields lined up with HubSpot’s. Now, my client wants to have a 2-way sync between HubSpot and QBO. I feel a bit nervous about doing this because I am not sure whether the sync will result in some of the QBO contacts getting overwritten inadvertently by the HubSpot contacts. Can someone give me some suggestions how I should proceed?
Thank you,
Edmund
Hi @Edmund_Lam,
Thanks for reaching out to the Community!
Would you be able to confirm which Quickbooks Integration you are looking to use to set up a 2-way sync? Do you have any documentation from the integration on how the sync works?
I think that having a bit more context on the integration could help us provide more guidance
Hope that makes sense!
Thank you,
Kristen
Hi @Edmund_Lam
That’s a good instinct to pause before turning on a sync.
QuickBooks Online (QBO) and HubSpot handle contact data differently, and conflicts can easily overwrite fields if you don’t plan the directionality carefully. Before you connect the integration, review which app should act as the source of truth for contacts and companies.
HubSpot’s native QuickBooks Online integration is designed for financial data sync (invoices, payments), not full contact sync, so for two-way contact updates you’d need a connector that supports bidirectional CRM–accounting data flow. HubSpot explains the native limitations here
(Connect HubSpot and QuickBooks Online )
If you use a third-party sync, look for options that include field-level mapping, record deduplication, and change detection, so you can preview what will be pushed in each direction before committing.
A safe approach is to first run a one-way sync from QBO into HubSpot and audit a sample of records, verify names, emails, and IDs align, then enable reverse sync only after testing updates on both sides.
When you’re ready for continuous, two-way contact sync without overwriting issues, Stacksync keeps HubSpot and QuickBooks mirrored in real time and handles all record mapping automatically so you never risk data drift.
