I am a counsellor and I am wondering how to set up Hubspot in order to be able to track the number of sessions with each client over time. If I have clients as contacts, should I create a Deal for each session? How then can I break the deal down by client? If I associate a contact with a deal, it appears that I can’t use that in the report charting.
Essentially, I would like the number of clients per month, broken down by client and also to know how many times each client has come over time.
@AOConnor3 happy to help answer the questions, or at least point you in the right direction!
I would determine how to configure the deal based on how you’re being paid (revenue) rather than how you’re managing sessions.
For sessions, I would log these as activity on the contact/deal record using the log a meeting or log a call feature so you can see can easily create activity reports for your total sessions per month, total clients, etc.
Thanks for your help, @Jnix284 . How do I configure the deal based on how I’m getting paid? Do you mean like in cash or by card or money transfer?
Is the contact and deal record the same thing? it seems like the deal pathway has many steps and I only want to record the sessions, no other contacts.
Easily creating activity reports is my main objective.
You’re welcome @AOConnor3, sorry for any confusion (and the late reply).
For configuring the deal based on how you’re paid, I mean at a high level, that your deals should be based around revenue and capture the value of the engagement you have with the client.
The contact record is where you can email the contact, where their individual information is stored.
The deal record is where you can track revenue and deal specific details, it also can move through the pipeline to track the status of the deal.
@AOConnor3 so you’d want to create the deal at the beginning, when you log the meeting, you can log it to both the contact and deal records through Associations, which will let you report across meetings and revenue. (value of sessions x time)
