Syncing Contact Owner Between Salesforce and HubSpot

Hello everyone,

I’d like to use Salesforce as our source of truth for contact ownership, which means I need the Contact Owner in HubSpot to be updated whenever changes are made in Salesforce. However, I’ve noticed that in the current sync settings for the Contact Owner field, the sync is set to two-way.

The issue I’m encountering is that when I update a contact’s owner in Salesforce, the Contact Owner in HubSpot does not update accordingly. Instead, the contact owner in HubSpot stays the same, even if it’s different from the Salesforce owner. The HubSpot owner seems to remain as the original owner, rather than being updated to match the Salesforce owner.

How can I force HubSpot to update the Contact Owner to reflect the Salesforce owner?

Do your salesforce owners have corresponding user accounts in HubSpot?
If my recollection of this is accurate, an owner needs to exist as a user in both platforms for the data to correctly sync between the two systems. I suppose this is because the HubSpot contact owner property can only reference a hubspot user. View only permissions (under the new seats model) should be sufficient to make this work.

Thanks for answering my question.

Most of the contact owners in my HubSpot do not have user accounts in HubSpot. We imported this data from Salesforce, and as a result, the contact owners in HubSpot have “(Salesforce)” as a suffix in their names.

The issue arises when the contact owner is changed in Salesforce; the owner in HubSpot does not automatically update.

How can I ensure that the contact owner in HubSpot is automatically updated whenever the owner is changed in Salesforce?

as you have noticed, the owner property is a two-way sync between HubSpot and Salesforce.

All users in both platforms must match email, if not the sync is not going to work properly.

So if you are not seing the information update, you must check that all users in both platforms are the same.

HubSpot tends to create new users for the ones found in SFDC with the email.

You’re right, when a Salesforce owner doesn’t exist as a HubSpot user, HubSpot treats that owner as a “Salesforce-only” value and stops syncing ownership changes automatically.

The Contact Owner property in HubSpot can only reference an active HubSpot user ID, so when the same email isn’t found in both systems, HubSpot can’t overwrite that field even if Salesforce updates

To fix this, make sure every Salesforce user who owns contacts has at least a free “View-only” seat in HubSpot under the same email address. Once they exist, re-enable the Salesforce integration sync HubSpot will start mapping ownership correctly and future updates from Salesforce will replace the HubSpot owner as expected.
