Preface: I’m very new to the marketing industry and have no coding experience.

TLDR: What is the best way to automate the process of adding contacts to relevant mailing lists based on their preferred interests?

I have been tasked to better organise our mailing lists. To this end, I need to be able to automatically catagorise people by their input on a form. I figured the best way to do this was to add a section with multiple check boxes, each named with a different sector of our industry.

Is there a way that I can set up a Workflow so that people who check “Box A” go into “Mailing List A”, and those who check “Box B” go into “Mailing List B”, etc? Moreover, if people check more than box, they would need to go into all of the relevant mailing lists.

I contacted Support and they sent me the following links:

- [Create workflows](https://knowledge.hubspot.com/workflows/create-workflows#set-enrollment-triggers)
- [Use branches in workflows](https://knowledge.hubspot.com/workflows/use-if-then-branches-in-workflows)
- [Connect workflow branches using Go to actions](https://knowledge.hubspot.com/workflows/connect-workflow-branches-using-go-to-action)

But I couldn’t put them together to get the answer I’m looking for.

Any help is gratefully appreciated.

Hi @Shirsty,

Welcome to the community!

If you want to segment your contacts by what they selected in a website form, you don’t necessarily need emails for that. You can simply navigate to _Menu_ \> _Contacts_ \> _Lists_ \> _Create list_ \> _Contact-based_ \> _Active list_ and find your form field under _Contact properties_. You’re looking for the exact name of the form field here.

Once you apply this filter and save the list, this list will take a few minutes and then populate with those contact who fulfill the criteria that you just set for thist list. More on that here: [Create and use lists](https://knowledge.hubspot.com/lists/create-active-or-static-lists)

That way, you could create an active list for all contacts who selected option A under a form field, another list for option B and C etc.

See for example this list filtered by Country/Region:

 ![karstenkoehler_0-1624889830376.png](https://d2qpr2jzcazej7.cloudfront.net/original/2X/a/a6c247853329a6df5b335384594175ae41baf317.png)

This would return all contacts who have either submitted a website form and filled the _Country/Region_ field with “Germany” or who have been manually edited by a user to have this value.

You could of course use workflows for that but it would definitely be a case of over-engineering. You would automate something that already works perfectly well and automatically so, too.

(There are some additional nuances to consent and website forms. You can [add notice and consent information to your HubSpot form](https://knowledge.hubspot.com/forms/add-notice-and-consent-information-to-your-hubspot-form-or-pop-up-form). Depending on what you’re setting up here you might want to include or exclude people who do not opt into a specific [email subscription](https://knowledge.hubspot.com/contacts/how-do-subscription-preferences-and-types-work). This can be overwhelming and complex but I’d recommend taking the time reading up on it and coming back with any questions that you might have.

By default, HubSpot will let you send emails to contacts even if they have not given their consent into a specific email subscription. You can change that by turning on the [GDPR functionality in your HubSpot account](https://knowledge.hubspot.com/account/how-do-i-turn-on-gdpr-functionality-in-my-hubspot-account). Then, you can set it so that HubSpot will only let you send emails to contacts if they have checked the subscription checkbox in the form.)

Let me know if you have any follow-up questions, happy to help!

Thank you, Karsten! That seems to have solved the issue and it sounds like you also saved me a lot of unnecessary work too!

Thanks again.
