Some of my google calendar meetings are not syncing in contacts/companies

When someone sets up a meeting with me, it does not always long as a meeting under the contact/company. I think I’ve realized what the issue is and I’m hoping it’s something I can fix myself.

I believe this may be an issue with how zoom creates meetings in g-cal. At some orgs, they are either setting up meetings directly through zoom or via some integration and the organizer doesn’t appear in the guest list. That being said, if you look at the bottom, they are the organizer.

Is there anyway to fix this? Any chance Hubspot is looking at this?

There are various types of meetings which HubSpot will not sync, quoting from the end of this page:

  • Any events created prior to the integration will not be synced to HubSpot, even if guests in such events exist as a contact in your HubSpot account and have the same email address in the Email property. Only events created in Google and Office 365 while the integration is active will be synced to the contact’s timeline.
  • For recurring meetings, HubSpot will only sync the first event in the series. If another event in the series changes, or attendee response changes, the updated event will sync to HubSpot. For example, if someone cancels one particular week for a regular weekly meeting, it will trigger that week’s event to sync to HubSpot.
  • All day events will not be synced to HubSpot.
  • HubSpot’s calendar sync does not sync private calendar events to your HubSpot account. If a public event is later changed to private, the engagement will remain in your HubSpot account, but changes to the event will no longer sync.
  • Once a meeting has been created, adding attendees to the meeting engagement in HubSpot won’t add them to the calendar event. To avoid this issue, you can make a small change to the meeting’s description at the same time you’re adding attendees, then click Save and send update.

Could you check whether these exceptions might explain what you’re experiencing?

Thanks, Karsten. I did get a chance to go through that list before I posted and can confirm none of those instances are occuring. I’m pretty confident it has something to do with the way that some meeting are created via zoom (or some common enterprise solution that schedules zoom meetings). If you notice, the person that organized is not listed at the top as an attendee or organizer. However, if you look at the second screenshot, it does show them as the organizer. My guess is that the integration looks at the host/attendee list at the top and isn’t picking up who sent the invite, even though it’s clearly sent from a specific company and contact.

Any update? I responded and mentioned that the suggestions did not solve this.
