I’m looking for some guidance on setting up a slack notification workflow when a meeting in booked. Here is what i’m trying to achieve:
Process Overview:
- A customer fills out an inquiry form on our website.
- Upon submitting the form, they are redirected to a meeting scheduler.
- When the meeting is confirmed, an email is sent to both the person who submitted the meeting request and a team inbox.
What I Want to Accomplish:
- Automate Slack Notifications: I want to create a workflow that sends a Slack notification to another team member with all the meeting details (e.g., Name, Date, Time, etc.) once the meeting is confirmed.
- Day-of Meeting Reminder: Additionally, I want to send a reminder Slack notification on the day of the meeting to ensure it’s top of mind.
Questions:
- How can I set up a workflow in HubSpot to trigger a Slack notification with the meeting details as soon as the meeting is confirmed?
- What’s the best way to configure a second notification on the day of the meeting as a reminder in Slack?
I appreciate any insights or step-by-step guidance on how to accomplish this.

If you already have the Slack integration installed, sending Internal Notifications via Slack is an option within workflows. Are you assigning Ownership of the contact when the meeting is scheduled? Then you can just kick of internal messages to the meeting owner and owner team via a workflow.
You may also want to create a timer for if the meeting is not scheduled so you can schedule a manual follow up task with that form filler.
You could create a workflow for all meetings to follow the notification flows this way it just runs and you can use it in conjunction with other form specific workflows that focus on logic if they do not schedule.

Yes, when the meeting is scheduled it is assigned ownership to the user I want to send the notification to.
We’re conducting the meetings through Google Meet. Do you know if it possible to include things like the google meet URL in the Slack notification?

Hi David, I am 90% sure the meeting link will be saved on the record and I think it would be under most recent meeting schedule under activities. You should be able to get that link then insert the token or use a workflow to populate a custom field and insert that field’s token into the slack message
