Setting up sequences on behalf of other users

Sequences should support enrollment on behalf of other users.

Sequences are powerful tools for facilitating one-to-one communication between a contact and their owner. However, the inability to enroll a contact in a sequence on behalf of another user is a significant limitation. It creates an unnecessary administrative burden for sales and customer success teams that could otherwise be handled more efficiently by an admin or enablement resource.

Use case:
We’ve identified a large group of key decision-makers attending an upcoming conference. We want their contact owners — who have existing relationships — to reach out and coordinate meetings during the event. Some meetings will be one-on-one, while others, particularly for high-value targets, will include additional stakeholders, such as our CEO.

To support this, I’ve built four tailored sequences (each with personalized emails and tasks) and segmented contacts into corresponding recipient groups. Ideally, I could enroll the right contacts into the appropriate sequences, which would then guide the contact owner through the intended outreach.

But because HubSpot doesn’t allow sequence enrollment on behalf of another user, I’m left with two bad options:

  1. Manual coordination: Create multiple lists for each contact owner, write detailed instructions, and rely on them to enroll contacts correctly. Then, follow up to check that they did it on time — and correctly. If they make a mistake (e.g., placing a low-priority lead in a high-touch CEO dinner sequence), it could damage relationships or waste valuable opportunities.
  2. Log in as each user: This is my current workaround — logging in individually as each contact owner and enrolling contacts myself. It’s inefficient, time-consuming, and undermines HubSpot’s user-level security model.

This functionality is badly needed. Enabling admins or enablement team members to enroll contacts into sequences on behalf of other users while preserving sender identity and ownership would solve a major pain point and improve security and operational efficiency.

I’d like this too. I don’t need my sales team spending time in the nitty-gritty of sequencing or email copywriting; I as the manager would like to enroll certain contacts in a sequence for a particular owner (sales rep) and then they’ll get the to-dos of replies and calls as needed. The owner stays the same, I just want to be able to kick it off on their behalf.

Agreed! The automate enrollment workflow options won’t work for our scenario so we are left having to log in as the other user to support them. This would be such a relief and avoid workarounds.

+1 to this idea - this would be a great feature to have. Current workaround is to build sequences for each user and then manually enroll

  • Salesloft already offers it.
  • Outreach already offers it.
  • It should be an option for certain users only if the fear of spamming contacts makes this idea risky for Hubspot.
  • As a SDR Manager, my goal would be to put all targeted contacts in a specific sequence for them to get the tasks.
  • As an AE, my goal would be to send emails on behalf of my C-Suite after an event, or after business meetings.

This is a desperately needed simple feature. We have a lot of usecases where Marketing managers set-up sequences to help account managers and prove added value of HubSpot, but this makes it just more complicated.
I’ve worked out all sort of hacky solutions, but none of these serves the marketing roles that I am working with directly.

I’m Ana, the Product Manager for HubSpot’s Sequences tool.

At this time there are no plans to build native enrollment on behalf of other users. That said, if you’re on Sales or Service Hub Enterprise, workflows can be used to enroll contacts in sequences automatically, which removes the need for manual coordination or logging in as individual users.

If anything changes on our end, we’ll update this thread.

I can’t believe this isn’t in the works—very necessary functionality for Sales Hub.

Hi! This is an old request, but we wanted to add that our team built an app called FlowNer, which adds a workflow action for enrolling contacts into a sequence. You can pick who the sender is per contact - either a fixed person from your portal’s team, or the contact owner. Set it up once and you’ll have the right sender automatically, no need to log in as anyone.

It’s not exactly what Enterprise does natively, but it’s been working for some of our use cases.
