Sending direct emails through marketing workflow

Hi all,

I have a small company that delivers software training. As part of the process of training I send customers a training confirmation email beforehand to make sure they know the details.
I wanted to make the email look good and feel engaging, rather than just being text and so I have been using the marketing email workflow as it gives more flexibility in the look & feel of the email.
However, it is a bit of an annoying process to send emails to individuals through this process and I find that a lot of my emails go to spam for my customers.
Is there a workflow I am missing to let me have the customisation in look but in a normal direct email (not actually marketing). And if not, how can I better prevent my emails going to spam?

The email drag and drop editor is the same for regular and workflow emails, could you specify what you’re referring to here?

If you have a workflow, it shouldn’t be an annoying process. Could you elaborate on what you’re doing? Also, how an email is sent (regular or workflow) doesn’t affect whether it’s going to spam or not.

Regarding spam in general, this is a common problem, unfortunately. Could you confirm that you have connected your email sending domain and set up email authentification (SPF, DMARC)? Both are considered best practice and should help with your email deliverability and would be the first steps towards better deliverability.

In general, similar to SEO, you want to try to pass on as many positive signals about your content as possible. The eventual decision what to do with that content rests with the service provider. With that in mind, here is a list of things that I’d recommend reviewing:

Connect your email sending domain

Use a DMARC policy with HubSpot

Only email contacts who for whom you have a legal basis to communicate

Validate emails before sending to avoid hard bounces at all costs (e.g. Neverbounce, Zerobounce)

Remove unengaged contacts from list regularly for higher engagement rates

Avoid as many spam trigger words as possible

Test the spammyness of your email

@kaburke wrote an excellent email deliverability listicle and @natsumimori also compiled a lot of great resources here. I highly recommend you check out both. Over time, email service providers should recognize you as a trustworthy sender. The issue could be that in the past, some recipients have already marked your emails as spam or that email service providers noticed high bounce rates from you.

I think you may be thinking of something else when referring to workflows. These are workflows: Create workflows

If you want to create a plain text template, then yes, this is possible. When creating a new email, select this option:

Thanks for such a detailed post Karsten.
So for sending a direct email (ie emailing someone to confirm a date) should I still be using the “Marketing Email” section if I want it to be formatted and use the drag and drop buttons etc? Or is there a section I am missing?
I looked at the “Conversations” section and had all the emaiils there but I could only seem to create plain text emails.

Correct, formatted emails can only be sent using the marketing email editor.
