Seeing HubSpot Contacts in Outlook

Hi HubSpot community!

I have spent the last hour trying to understand the HubSpot add-in on Outlook.

Basically what I would like to do is start a new e-mail and be able to see not only my Outlook contacts, but also all of my contacts in HubSpot so that I can email them without needing to open HubSpot and copy their email address over.

I have noticed with the add-in that once you enter the email address in, it will see if they are in HubSpot - however you can’t actually search them up in Outlook and find them from your HubSpot CRM

Does that make sense? I am hoping there is a way to do this so that I don’t need to always go on the HubSpot website to find the email address of a contact that I haven’t emailed before in Outlook

That’s not the way the Outlook add-in works, I’m afraid. Rather than loading all your HubSpot data, the HubSpot Sales sidebar simply shows data for the currently selected contact. Contacts not yet in HubSpot that you email in Outlook will be created in HubSpot, but contacts not yet in Outlook remain in HubSpot only.

I’d recommend upvoting that idea and commenting on it.

In the meantime, your options are:

  1. Send emails from within HubSpot (n.b. these will show in both Outlook and HubSpot)
  2. Export your contacts from HubSpot and import them into an address book in Outlook
  3. (well, 2b?) Use Zapier or similar to ensure that new contacts added in HubSpot get added to your Outlook address book
