Is it possible in Hubspot to schedule a meeting with a specific contact, but not have an initial email or any follow up emails go to that contact? I know it sounds a bit strange, but I have various circumstances where I’d like to have that behavior. The only solution I’ve found so far is to remove delete the email address from the contact’s record.
@NQuateman rather than use the schedule meeting function, you could use the log meeting option instead - this would let you add a meeting to the record without it triggering any emails to the contact while still showing as a meeting activity in the timeline/reporting.
Yes, I am familiar with the Log feature and have tried it. As far as I can tell, that would be doing double entry; once in the calendar to set up the meeting, and then again separately as a Log entry in HubSpot. Double entry isn’t an option. Am I misunderstanding the behavior of the Log feature?
@NQuateman I’m sorry, I misunderstood - so you do want to invite the contact to the meeting, you just don’t want any emails to be sent. I thought you only needed to associate the meeting to the contact.
If there aren’t any emails sent out, how does the contact get/accept the invite for the meeting? Can you explain more about the use case, maybe that will help with finding the right solution?
Here’s a specific example (there are other examples).
- I have a contact in HubSpot that conducts seminars and I will attend a number of those seminars.
- I want to put those seminars into my own calendar (which is Outlook connected to HubSpot).
- I also want to have those seminars listed on the contact within HubSpot. But that contact does not need, or want, to be notified that I have made my own calenar entry to attend their seminar.
- Is there a way that I can have those calendar entries associated with the contact within HubSpot without having to make a log entry, and without having to delete the contact’s email address?
@NQuateman if you add the seminar to your calendar and then open your contact in your CRM (the one you signed up with), you can go to the meeting that was logged to your timeline and add additional assocations, which will add it to other records without notifications:
This would prevent them from getting an invitation/emails, because they aren’t added as an Attendee, they are added only as an Association so you can view in their timeline/activity.
I’m going to give the Association approach a try and see how it goes. Thanks for the idea.

When creating a meeting in outlook, I have to enter the client’s e-mail. In this case outlook will send a mail out.
If I do not enter the e-Mail in the scheduled meeting, I don’t find the meeting in hubspot, 'cause there is no link to a contact.
Where is my missunderstanding?

@danielruch rather than creating it in outlook, you would create it entirely in HubSpot - in the example above, the user was creating meetings on their own record with their own email and then adding additional contacts so it would appear on their timeline.
If you want to have a meeting that doesn’t send an invite out, you would need to log the activity to the timeline rather than create it as a meeting.
From my testing, when you create a meeting and add an association to another contact, it doesn’t send them an invite - you could test this out to see if a workaround similar to the one in this thread might work for you.
