Schedule a meeting on a CRM record without adding the contact as a calendar guest

The problem
When you schedule a meeting from a contact, company or deal record, HubSpot requires at least one contact as an attendee. That contact becomes a guest on the Google Calendar event. Even if the invitation email is turned off, the contact stays on the guest list and can open the event, including its description.

Our use case
Our team uses the calendar event (and the Google Meet side panel) as an internal workspace. We put internal prep notes in the event description and read them during the call. The event has to be:

  • on our team’s calendar before the call,
  • associated with the CRM record, so it shows as an activity and counts in reporting,
  • invisible to the customer, including the guest list and the description.

Why current workarounds don’t work

  • Turn off the invite email but keep the contact as a guest. The contact is still a guest and can see the event and its description.
  • Log the meeting after the call. This creates no calendar event, so nothing appears in Google Calendar or the Meet side panel beforehand.
  • Create the event in Google Calendar and link it by hand. This loses the HubSpot scheduling flow and is easy to forget.

Proposed solution
When scheduling a meeting from a record, add an option such as “Associate only — don’t add as guest”. With this option on:

  • the meeting is associated with the contact, company or deal in HubSpot,
  • the calendar event is created with internal attendees only,
  • no external guest is added and no invitation is sent.

If the rule “at least one contact attendee” is required for technical reasons, please clarify this in the docs. Separating record association from the guest list would solve it.
