We’re currently facing a significant challenge with our two-way HubSpot-Salesforce integration, and we’re hoping to tap into your collective expertise for a solution.
The Core Problem:
Our primary issue stems from a fundamental difference in how Salesforce and HubSpot manage “people” records, especially concerning leads.
- Salesforce’s Approach: In Salesforce, it’s common for us to have multiple Lead records associated with a single Contact. This often happens when an existing customer or prospect expresses interest in different products/services, fills out various forms over time, or engages through multiple channels. Each of these can generate a new Lead record, even if the individual already exists as a Contact. This allows our sales teams to track distinct enquiries or opportunities for the same person.
- HubSpot’s Approach: HubSpot, on the other hand, operates on a “one email address, one contact” principle. When our Salesforce Leads sync to HubSpot, the integration interprets each Lead (even if it’s a new one for an existing person) as the same HubSpot Contact.
The Resulting Issue:
This leads to a critical problem: instead of adding a new, distinct “lead record” or enquiry under the existing HubSpot Contact, the sync often overwrites existing contact data in HubSpot with the information from the latest Salesforce Lead. While the overwriting of general contact data isn’t our primary concern, the critical need is to enable Salesforce to successfully send and manage multiple, distinct lead records for the same contact within HubSpot without losing the context or misrepresenting the individual enquiries.
Specifically, this is crucial for our organisation because:
- Repeated Enquiries are Distinct: For reporting and attribution purposes, repeated enquiries from the same individual are treated as new, distinct enquiries that must be reported each month with their correct attributions (e.g., source, campaign). Overwriting means we lose this vital historical data and accurate monthly reporting.
- Service-Specific Pipelines and Teams: We offer various services, and enquiries/leads for different services are routed to different pipelines and sales teams in Salesforce. We need this distinction to carry over into HubSpot so that the correct marketing and sales processes can be applied. This is why we must have multiple leads associated with the same contact.
- Multiple Service Selection Creates Multiple Leads: Some of our forms allow clients to select multiple services. When a client selects more than one service, this action creates two separate Leads in Salesforce (one for each service selected), ensuring both relevant sales teams receive the information they need to manage that specific inquiry. We need HubSpot to reflect these distinct inquiries, rather than consolidating them into a single, undifferentiated contact update.
- Partner Program Management: We work with referrers who often send us dozens of clients across the year, but we don’t receive the client details unless it’s a good match (closer to the contract phase). Each referred client must be treated as a separate lead and routed to the appropriate sales team for management, even if they share the same referrer contact.
Essentially, we’re losing the ability to:
- Track the full history of distinct enquiries from a single individual.
- Segment or trigger specific workflows based on each unique lead record/interest.
- Accurately report on the different engagement paths or product interests of a single contact.
- Salesforce and HubSpot reports won’t match
- Track campaign efficience, since it’s overwriting the contact details.
We’ve explored the standard integration settings and understand that the native sync typically maps Salesforce Leads to HubSpot Contacts and therefore, overwrites existing leads. We’re looking for a way to maintain the integrity of these separate “lead records” from Salesforce within HubSpot.
What we’re looking for:
Has anyone successfully implemented a solution for this specific scenario? We’re open to:
- Creative workarounds using native HubSpot/Salesforce features (e.g., leveraging Deals, Custom Objects, or advanced Salesforce Flows).
- Recommendations for third-party integration platforms that can handle this complex logic.
- Insights into custom API solutions if that’s the most viable path.
