Sales Tax Powered by AvaTax - Automatic Sales Tax Calculation in HubSpot

Just wanted to make a post about the sales tax integration my company built.

Companies want to stay compiant, but relying HubSpot rate tables can make that difficult as you grow.

The issue with rate tables is they require constant manual updates. Tax rules change often, and most businesses don’t have someone monitoring them closely, which makes the “set it and forget it” approach risky.

The integration we built, Sales Tax Powered by AvaTax, connects HubSpot to Avalara’s AvaTax engine so Avalara handles tax calculation for you. Here’s how it works:

  • Map products: HubSpot product codes are mapped to Avalara tax codes so AvaTax knows what you’re selling.
  • Map customers: Exempt customers in HubSpot are mapped to Avalara so AvaTax knows who qualifies. Since not all exemptions always apply the same way everywhere, Avalara tracks the nuances for you.
  • Automated calculation: When a Quote is generated in HubSpot, AvaTax calculates the tax in real time based on current regulations, not an outdated rate table.

This means AvaTax automatically assesses both the product and the buyer, keeps you more accurate, and reduces risk. It’s also more scalable, if someone on your team leaves, you don’t lose the process.

In short, this integration lets Avalara’s tax engine do the heavy lifting so your team isn’t stuck maintaining compliance manually.
Hope that saves everyone a bunch of time and headache!

Thanks for sharing! This looks like a great solution for automating a complex process. Best, Victor

That’s a nice share, thanks for putting it out here @Taxiom . You’re right that HubSpot’s native tax setup relies on static tables, which can quickly drift from compliance if nobody is updating them.

The appeal of AvaTax is that it tracks jurisdictional rules and exemptions for you, which solves that “set it and forget it” trap many teams fall into. For anyone curious, HubSpot’s own docs confirm that product library items can include a “tax” field, but those rates don’t auto-refresh with changing regulations

(Create and manage products )

That’s the main gap an engine like Avalara covers.

One question I’d ask is how your connector handles quote edits or re-issued quotes. In HubSpot, taxes are recalculated when the quote is regenerated, but I’ve seen scenarios where downstream changes don’t trigger an update unless the workflow is explicit. If your integration recalculates every time a quote draft is generated, that’s a big win.

For folks running ERP or finance tools in parallel, the harder part is keeping both HubSpot and the accounting system consistent after tax is applied. That’s where a real-time two-way sync helps, so those same tax amounts or exemptions carry across systems without drift “Stacksync”. Hope this helps frame the value.

@RubenBurdin You’re exactly right about the “set it and forget it” trap — that’s where a lot of businesses get into trouble.

Great question on quote edits. To give users more control (and avoid unnecessary API calls piling up), the integration lets them trigger tax calculation directly from a line item. So if they want tax calculated or recalculated on a quote, they just set any line item to “request,” and that will initiate the tax call.

On the ERP side, you nailed the common pain point. We’ve talked to a number of teams who run quotes out of HubSpot and then finalize in their ERP. With this integration, HubSpot receives the real-time tax amounts from AvaTax, and then users can use their ERP sync tool to pull that data into the ERP, helping keep both systems aligned and compliant.

For businesses handling complex calculations like sales tax or pricing, it’s often helpful to have a quick way to test numbers and verify totals before applying them in your system. A simple tool like Net Salary Calculator Online can be surprisingly useful for this — while it’s not designed for tax specifically, it lets you experiment with different figures and instantly see the results, making it easier to cross-check your calculations and ensure accuracy.

Thanks for sharing but I’m sure not this would be useful for businesses needing sales tax calculation. What you’re suggesting would basically require the user to calculate tax manually by hand, then do it again through the automation, defeating the purpose of the automation in the first place.

A real-time tax engine is definitely more scalable than maintaining static tax tables manually. As businesses grow across different regions, keeping rates and exemptions updated becomes a challenge on its own. The same principle applies to payroll calculations, where tax rules and deductions change frequently. Some tools show how automated calculations can save time and reduce mistakes when dealing with complex financial data.

hanks for sharing this. One thing I’ve noticed is that many businesses underestimate how difficult compliance becomes once operations start growing. A manual process might work when you’re handling a small number of customers, but keeping tax rates, exemptions, and regulations updated across different locations can quickly become overwhelming. What seems like a simple spreadsheet task often turns into a significant time commitment.

I like the fact that your approach focuses on automation rather than requiring someone to constantly maintain rate tables. Real-time calculations like concrete block calculator are usually much more reliable than relying on information that may have been updated months ago. It’s similar to what we’ve seen in other industries where people move away from manual calculations and toward specialized tools that automatically handle the complexity behind the scenes. Reducing human error while saving time is usually a win for everyone involved. Appreciate you taking the time to explain how the integration works.

I’m currently setting up the Taxiom Powered by AvaTax integration and would like to validate that it’s working correctly in our HubSpot sandbox before moving to production.

I have a few questions:

Is the Taxiom Powered by AvaTax integration fully supported in a HubSpot sandbox environment?
Are there any prerequisites or licensing requirements (such as a Revenue Hub seat) for testing the integration in a sandbox?
What is the recommended process for verifying that tax calculations are being sent to Avalara and returned successfully to HubSpot?
Are there any logs or diagnostic tools in HubSpot that can help confirm the integration is functioning correctly if tax calculations aren’t appearing as expected?

If there is any documentation specific to testing the Taxiom Powered by AvaTax integration in a sandbox, I’d appreciate it if you could share it.

Thanks for the questions. Working with a sandbox is no issue. Instead of posting a super long reply, please see our guide here. It contains all the information and also a video walkthrough.
