Round Robin for Hubspot User of one Team

Hi there,

I would like to build a sales pipeline automation so that Leads get a hubspot owner attributed in a round robin principle, BUT

- We need to restrict what the people can see. Thus we so far put the 3 of them in a seperate team from the rest

- Only 2 of the 3 should be assigned, the third one not

- We cannot open another team for it, as our slots are limited.

Without the restrictions I thinnk it would be fairly easy, just put them in a seperate group and let the round robin feature handle it. But in this constellation I dont know what to do.

If anyone has an idea I am more than happy to hear from you!

I cannot envision all the properties and features you want to restrict the people from seeing, but following your cited scenario of creating separate teams and assigning those reps with round robin, and since you now seem limited to proceed because you can only assign 2 of those 3 people into teams, I think you may try the following for the 3rd person whom you couldn’t assign to a team.

The trigger for the workflow can also include “Engagement”

Here, you select the engagement and make the “hubspot team” “is none of” the two teams that the 3rd person you couldn’t be added to. You may then proceed with other things you need to include in your workflow.

Hi @BukunmiOdetayo - I tried the solution but I didn’t work for my case. I think I was probably not precise enough in my Explaination: So we have a Team of 3 Persons, lets call them Josh, Sarah and Anna.
They are all in a seperate Team from the others so the 3 of them can’t see what we are doing in other pipelines etc.
Within the pipeline they should for for we have 2 custom Properties: 1. the deal owner and then the 2. the technical sales agent who aids the the deal owner.
Lets say Josh is the deal owner. He is always the deal owner. Sarah and Anna have a lot to do and the technical support should be divided between them so not one of the both has to work at all deals. Instead they should be assigned in round robin to the deals helping Josh with technical questions.
I think thats the better explaination. And since we cannot set up a team just for Sarah and Anna or just do round robin forr 2 people from one team, I am a little bit stuck here.
Do you have any idea? Help is much appreciated!

Thank you for coming back to me about this.

I have been playing around with workflows to see the best ways to go about this.

So, Josh, Sarah and Anna are going to be working in the same pipeline, although they are in different teams. I’d have suggested rotating the deal record to your custom property (Technical Sales Agent) which will rotate between Sarah and Anna, but they will need to be on paid seats, which is what you’re trying to avoid.

Another reason why this seems a bit difficult is that we can not categorically ascertain how often deals come into the pipeline (say hours, days, weeks or months).

So, I am thinking you can use the “if/else” action.
But before that, I will try out different options and record a video which I will share with you in a few hours.

Thank you so much! Quick clarification: Josh and Anna/Sarah are operational in different teams, but they are all in the same hubspot team group, because we only can have one team as we already reached our limit and wee use the team logic to restrict the access to other pipelines.

My apologies. I was going to send it but it slipped my mind.

So, here’s another thing I thought. This might not be as difficult as I initially perceived it.

You could approach it from two different angles:

1. There is a workflow that creates a deal record, assigns the deal to an owner (Josh) and rotates the record (custom property: Technical Sales Agent) between Sarah and Ana. In this workflow, your triggers could have been anything, and you could have also made the workflow deal-based or contact-based. See the video explaining this here

2. The deal has been created, already in a pipeline and you only need to automate the pipeline as you stated initially in this thread. Here, navigate to “automate” the pipeline and “create a workflow”. Simply set the deal owner as Josh, and “rotate record” (Technical Sales Agent) between Sarah and Ana. You can find the video explaining this here.
