Revoke editing features by other members

Is there an option in HS Sales & CRM that does not allow any other user to edit a note/call log/email log of another user?
Like in comments, the author is the only one allowed to edit the comments, but its not the same for Notes/Logs

Hey @GPontanilla, Yes! there is an option in HubSpot Sales & CRM that allows you to restrict access to notes, note/call log/email log. HubSpot offers a feature called “Private Notes” that enables users to create notes that are visible only to themselves, and other users cannot edit or see them.

Hope you muct know, how to create a Private Note in HubSpot. By any chance if you want help for creating custom note, please see the steps below:

  1. Navigate to the contact or deal record where you want to add a note.
  2. Click on the “Add note” button.
  3. In the note editor, select “Private” from the dropdown menu.
  4. Write your note and click on “Save”.

With this option, only the user who created the Private Note can view or edit it. Other users who have access to the same contact or deal record will not be able to see or modify it.

It’s worth noting that this setting applies to individual notes, and not to entire logs. So, while other users can still see the overall log of calls, emails, and notes, they will not be able to view or edit any private notes created by another user.

Hi Syeda - I tried Creating a note in a deal but no “private note” selection is showing up. Can you point me in the right direction? thanks!

Hey @GPontanilla, Did you try to enable the appropriate permissions that you are creating the note? If not, I would suggest creating and editing private notes.
The permission should be enabled in your HubSpot user settings. You can check this by going to your user profile in the top right corner of the HubSpot dashboard, selecting “Profile & Preferences,” and then navigating to the “Permissions” tab.

Once you have confirmed that you have the correct permissions, you can create a private note by going to the deal record and clicking on the “Activity” tab. From there, you should see a button labeled “Log a call, email, or note.” Click on that button and then select “Note” from the dropdown menu.

In the note editor that appears, you should see a checkbox labeled “Make this note private.” Check that box to make the note private. If the checkbox is not visible, make sure that your HubSpot account has access to the “Private Notes” feature.

This feature is available on certain HubSpot plans and may need to be enabled by your account administrator.

One thing to keep remembering is that the private notes are only visible to the owner of the note and to users with the appropriate permissions. They are not visible to other users in your HubSpot account.

Edit & Delete Permissions for Notes

What is it?

Two new permissions, one for edit and one for delete, are being added which can limit the ability for users to edit and delete logged notes across HubSpot. The permissions can be set to the following levels:

  • All notes: The user can edit or delete all notes.
  • Notes their team owns: The user can edit or delete notes they or their team members created.
  • Notes they own: The user can only edit or delete notes that they created.
  • Unassigned: The user can edit or delete notes without an owner. This is an additional option when access is set to notes they own or emails their team owns.
  • None: The user cannot edit or delete any notes.

Why does it matter?

Today when a user logs a note to HubSpot, any HubSpot user with access to view the note is able to edit or delete that note. This is an issue for customers who have different employees accessing each other’s notes, but who have concerns over those notes being modified or deleted. Two new permissions are being introduced to limit access to editing and deleting notes in HubSpot.

How does it work?

Users that have the ability to change permissions for other Users should navigate to Users & Teams where they can edit Users’ permissions to determine what access level for editing and deleting Notes that a User should have.

Originally, we will provide the User’s Edit & Delete Notes permissions to match their current permissions for Viewing Notes.
