Restrict sales email visibility on contact records

We need to have this functionality ASAP. This is a basic CRM functionality. We need to restrict access to sensitive emails within the objects.

Hi,
I got the comfirmation from the Sales Rep of Hubspot that this feature is avaliable in “Enterpise Edition” with “Field-level permissions”
However, the price is too high for small/medium company.

Thanks @Komgrit I will take a look.

We need to restrict access to sensitive emails within the objects.

Absolutely need this resovled at all sales levels. We just came on the Sales platform and now I have a revolt on my hands from our sales staff because you either can’t see someone owns a contact or company or you can and see all the communication.

Hubspot, could you please give us our money’s worth and have this basic CRM functionality available, ASAP?

@coke Hi Coke, any update on this? Can you provide a Loom on exactly how to Create the custom object, I’m unsure of how to associate it with the contact. It is not automatically associating. TY!

I want to prevent users from seeing each other’s emails on hubspot while allowing access for them to see data in different companies. I want our emails to be tracked, but the problem is certain emails have confidential information that only certain user should be able to see. I am not able to customize that without completely disallowing certain users to see company records.

Hi @MAdamo5 , sorry for the delay. I filtered the community emails to a different inbox and I forgot to check them.

So I recorded a Loom before but then I realized that I needed to grant access to people outside HS:

It doesn’t show how to create a custom object but this is easy. If you have an enterprise subscription, you should have access to Custom Objects and then create any CO directly from the HS user interface in settings:

This is even easier now with the Beta to log emails on custom objects directly from the SH sales extension. [Public Beta] Log Emails to Custom Objects from Gmail & O365.

Hi @Levi , it’s possible now to set permissions per custom objects :+1::tada::tada::tada:

Nice @coke !!

We have also the same need for a customer.

Hubspot, Please elevate this issue with your development team. Seems to be a requested feature necessary for function and security.

Hi everyone, this is something that the team is working on and if you have a Success Manager get in contact with them to talk about the future releases

Hi all! I’m pleased to announce this functionality is now available in Public Beta. Admins can opt their portals into this by following this link: HubSpot Login and Sign in

GREAT! When will it be open to implement?

Fabulous thank you Hroberts. I’ve accepted the Beta but not sure where to go from there…

@hroberts I’ve opted into the Beta and amended a permission set to CRM emails their Team owns but my colleague can still see other Teams emails when she looks at an existing contact/company. Does it work retrospectively or only moving forward?

Perhaps i’ve jumped the gun, has this been released yet?

Thank you.

@MAdamo5 @Nitaneth you’ll want to follow the instructions in this KB article where you’ll find a new entry in the permissions panel for “CRM emails” that you can update. The change applies to existing emails, but as we’re still in Beta there are some special cases the team is still working on. I’d recommend reaching out to the Support team to troubleshoot your particular case and see if what you’re experiencing is expected right now or not!

ok thank you @hroberts
