Need this now. To not have this feature means everyone who deals with customers has access to edit any property because they only need access to edit a phone number.
Hello HubSpot community,
Thank you all for your continued valuable feedback. I’m excited to let you all know that this feature is now live in all accounts with an Enterprise subscription of any kind. We put together a blog post running down the details which you can find here. We also have a HubSpot Knowledge Base article that explains the product in more detail.
As always, we built this with your businesses in mind. So, please keep the ideas and feedback coming, they are the most valuable inputs we have into helping you grow better!
We need to have permission for some properties to vary depending on the user. Currently available in Hubspot is object level permission (i.e. for each user, define what he can do with all properties of contacts, deals or companies, etc.). We need property level permission (i.e. for each user, define what he can do for each property on contact, deals or companies, etc.)
Use case 1: some contact properties affect how the commission of deals belonging to those contact will be computed. Only users with specific privileges (e.g. managers) should be able to edit the property defining this. Without this available, we are at risk that a sales rep edits this field to increase its commission.
Use case 2: one contact property defines the expected deal value of a deal if one is ever closed. This affects the priority of the contacts. This value is computed outside of Hubspot by analysts and is then mass-uploaded. Hubspot users have no need to be able to edit this value. The same way some properties can only be edited by Hubspot, we need some properties to only be edited by admin / special users.
Note @ Hubspot:
- Users will need to be grouped, probably in teams. Then permission will be given to a team
- Properties may or may not be grouped into groups having the same permissions.
Hi guys,
I have several properties that are enriched via the API. I want to prevent the Hubspot users to overwrite them. Can I ‘lock’ a property, so access is prohibited?
Thanks for your support!
Hi @Michiel_IM thanks for reaching out to HubSpot Support. It’s not possible to “lock” a property within HubSpot, however you can restric your user permissions so they can only view certain contacts, not edit them. Please note though that this applies to the specific contact record, not to specific propeties. I think this is a great idea though, and I would encourage you to bring it to our Ideas forum so other users can view/upvote!
This functionality is surely one that needs implementing.
Restricting users to only view certain contacts isn’t a viable alternative, they still need to be able to edit certain basic contact details but we’ve created custom properties that we would love to be able to lock from editing by most users.
These custom properties form part of our membership information (including subscription due dates) and if changed, would result in potentially issuing invoices at the wrong time or not at all.
The current permissions functionality is to high level, basically, all or nothing which I think really needs to be reviewed.
This would be a great feature! We currently have fields that absolutely MUST not be edited and having this function would ensure that they remain that way. Unfortunately human error is always an issue. It would be great if we can eliminate that occurring.
I agree that this feature would be beneficial.
This is a feature that we also would like Hubspo to implement. We need to lock a property to prevent it from being updated manually by a user. We are implementing workflows to update some properties and we do not want the users to change it manually. Thanks
This would be a great tool for my company. We have certain custom fields in HubSpot that are applied by workflows but once a field hits a certain level it would awesome if we could “lock” the field so that it could not be overwritten by other workflows. This could also be solved by in-depth workflow rules but until Hubspot implements case statements into workflows, there will be quite a few more errors.
Most systems have the ability to restrict user access to certain fields so they cannot be updated by everyone, it seems odd HS doesn’t have this ability. It would definately be beneficial for my role because if someone deletes or changes information incorrectly it could cause us to loose customers. I would love to see this implemented in the near future.
This is absolutely necessary. How is it that every other MA allows this, but not Hubspot?! My use case is: a lead comes in from a Google Ad and fills out a webinar form. They have their UTM properties and Lead Source property written to. 5 months later, the same lead comes back in via Organic Google search and requests a demo. I want those UTM and Lead Source properties to remain the original values from the first visit, not be overwritten upon the second visit.
I agree with everyone else on this. This is one of those items that you say, “why wasn’t this something done from the start”. My organization saves important dates like end of contract, Termination Status, their monthly fees, etc. Unfortunately, human error or just lack of paying attention could cause someone to over-write or delete that information. It would be great to be able to limit access to certain custom properties to only those who have to manage them.
Agreed. We have sales users that apparently are using their own tablets to input lead information… which is apparently overriding their personal information. Not good.
I also agree. There are certain properties that I need to lock up or make not visible for certain users.
I agree. This feature would be of significant value in an effort to indicate information that is pertinent to the deal properties.
Agreed 100%. @nicolebrenner Do you have an update on this as there are many upvotes and comments validating this functionality?
Yes I agree. For instance, we would hope we could create and lock an Original Contact owner field as we move contact records to different sales people depending on where they are in the funnel. Obviously, we still want to comp or give merit to those that originally brought in the lead. This is also true for other custom properties we have as we want to capture from the original activity and make that stay the same because the moment the contact record begins doing other activity those properties would change if we created an outmated workflow to attribute certain proerties to populate for new inbound marketing activity. For instance, if a lead becomes a lead because of a tradeshow from the getgo, but then later downloads a form. If we were to create a workflow so that any new inbound lead that fills out, let’s say our Demo Request form the workflow would automatically give that new inbound lead Lead Type= Inbound Marketing, Lead Source= web/contact form and Lead Source Name= Web Form- Demo Request. However, this would only be true for those that were new inbound leads, not necesarrily for ones that were already in the system as we wouldn’t want those original proerties to change.
If there was a property lock button so that property can never change unless done so manually via an admin, then that would make the process so much easier. As now for all our landing pages with forms we have to create unique workflows with very advanced branch logic to do this simple task.
Is this possible yet? I haven’t seen a place to lock a property. We want to lock a property from being changed by our sales reps, and to also lock a property after the value has been entered for the first time.
It there any update about this feature,
This is absolutely essential for permission control in a company.
