Reps & marketers that go to events: How are you pushing your leads from event to hubspot?

basically title.

last event we went to we connected with 300 leads over the two and half days of event.

most of them we just hand out business cards to and try to get them to fill out a form on the spot.

event badge scanner is completely useless, connects you with them on the event app, which you then have to manually export and parse through, by that point most of the context is completely forgotten.. ie. are they a lead/are we the lead? no clue.

we just set up Popl for our digital business card solution and looking to integrate with hubspot. if anyone’s done something similar, advice is appreciated.

This is a custom setup we came up with, but if you’re already using Popl, it might be even easier with Stacksync. Happy to share more details if you’re interested.

Here’s how we handle it:

  • We built a simple Tally form with the key fields we need: name, company, a photo of their badge, and a free-text notes box.
  • Each rep opens the form on their phone and, while the conversation is still fresh, quickly writes five bullet points and hits submit.
  • Tally triggers a webhook as soon as the form is submitted, sending the payload directly to our Stacksync Workflow endpoint.
  • That workflow instantly activates Stacksync Enrichment, which pulls everything we need to qualify the lead.
  • A qualification formula runs on the spot.

A QR code that links prospects to a document—such as a company overview—has always worked well for me. The document is gated behind an email submission, which captures their details directly into your CRM. Since the QR code is specific to the event, it also helps attribute the lead source accurately. Might be useful, might not—but thought I’d share!
