Reports don't filter by Close Date on imported historical Deals

Hi everyone,

I haven’t seen this addressed elsewhere, so I may have a solvable issue here. It has to do with the Close Date property on Imported Deals.
We switched to Hubspot earlier this year and started managing all of our Deals from the Sales Hub in May.

Prior to this, I imported all of our historical Deal Data from our old CRM into HubSpot. With some trial and error, I properly loaded all historical deals with accurate Amounts and Close Date.

- i.e. A Deal’s Create Date is the Import Date (say 3/7/2023), and the Close Date was carried over from old CRM (say 12/29/2020).
I want to build a custom report for Average Deal Size to be able to compare this metric over time. The issue I’m having is the report shows no Closed Won Deals prior to May 2023, when we started using HubSpot for Sales. This is despite confirming that Deals do indeed have close dates dating back to 2016.

I’m not sure why the reports are showing Deals with one Close Date, but the Deal Records the report is referencing have a different Close Date that what’s shown in the report. Please see picture for a better explanation.

Anyone got any thoughts? Perhaps this is a questions for support?

*What’s shown below:

1. Report Data Filters

2. Report Output -- Shows earliest date as March 2023. I selected this data point.

3. That data point brings up the list of records that comprise the data point. I selected one to show the close date on the left.

4. When I go into that Deal Record, you can see the Close Date is different than what was shown in the Report data.

This is the data discrepancy I can’t understand or fix.

@KBrown269 Hi there :slightly_smiling_face:
My name is Olivia and I am happy to help.
My guess is that the issue could be related to the fact that you have deal and company data tied into the report?
Could you tell me exactly what you want to see in the report for deals and companies and then I can build out how I would do it and send it over to you?

You could also book a meeting with me to go over the report on a screenshare and clear up the issue that way :slightly_smiling_face:
Thanks!

Thanks for your response, Olivia.
My goal here is to plot out monthly average deal size. There’s a built-in report for this in the Analytics Tools that looks close, but I’d like to replicate the report myself to double-check the figures and have a bit more control over manipulating the graph and filter criteria. I should be able to make a few versions of this report or add in fields below to help sort the highest average deal size by company/industry/marketing funnel/etc.

I’m also trying to calculate our CLTV, so I’ll be pulling our historical deal data with company Record IDs. This is to ensure that a company with multiple deals in a given year won’t get calculated as 1 deal/company/year; it’s a small detail, but it could skew the CLTV lower than reality.

Does that make sense? Happy to provide any more info!

Hi @KBrown269 Yep makes perfect sense!
Here is loom on how I would make this report https://www.loom.com/share/f33d2866e7fa4900a2450853c6e809d1?sid=107c7251-c2c4-4cac-a5c0-78f2cd3cbe62.
Could you follow it (paying close attention to the step where you chose the data sources) and let me know if you still have the same issue?
Thanks!

Hey, just watched your video (closely, as requested). The quick response: I set it up almost identically to you in the first place, and despite the minor tweaks, my output did not change.

(Note: I’m going to mention the things in my setup I already did, but this isn’t to point out that you’re being unhelpful! Just want to be specific is all.)

The differences in my setup:
- I included specific Closed Won stages instead of “All Closed Won” in your video, since there are other pipelines that aren’t relevant here. Still though, I had the desired Closed Won stages filtered.

- I also had close date is known filtered.

My Primary data source was Deals, with Companies as a secondary data source.

- The only difference I had in my configuration was the Amount data point. I originally used “Average (Amount Closed)” instead of “Average (Amount)”. Using Amount Closed is redundant due to the filter, but changing to Amount did not change the figures.

- My data still starts at Q1 2023 despite deals with Close Date that go back to 2016 as shown in my examples above.

At least I know I set up the report right, though! Thanks for doing that.

I’m going to open up a ticket so their Support team can take a look. Cheers!
