report on unique deals by stage over time

Hello,

I’m trying to put together a report that shows the count of deals that are currently in or have been in 5 out of 7 deal stages within a certain timeframe.

I can’t solve for how to show data without duplicating Counts ie; the same deal counted multiple as it’s been through several of the selected deal stages during the date range.

I need to see a bar chart with months on the X axis and count of deals on the Y with Deal owners represented by colors. The counts should show how many unique deals have been in 5 of 7 deal stages in a give month without duplicating deal counts.

The only thing I can think of is to have 5 seperate reports using a combination of {Entered Stage Date “is”} for the target deal stage and {Deal Stage “does not equal”} for the all other deal stages, then add the counts manually from each report to get the monthly total.

or

A deal workflow that adds to a custom numerical property when a deal travels through 1 of the 5 deal stages…but not sure I could make this work within a date range…

Any help appreciated.

Hi @THayes3,

I have a question for clarification. If a deal was in stages 1-3 in January and in stages 4-5 in February, under which month should the deal be shown then?

Maybe taking a step back, which bigger picture question are you trying to answer by building this report? It feels like there might be a report in the sales analytics which could scratch not the same but a similar itch: Create sales reports in the sales analytics suite

In its current form, what you’re trying to achieve is, as far as I know, not possible – simply because HubSpot can not know which date property to go by to bucket a deal into a specific month. If you figure out a way to clearly designate a date, then it becomes easy.

Best regards

Hi,

I need deals to be counted just one time. So if a deal is in stage 3 in February and stage 4 in March, I would want that to show up only in February. If this is possible, it would need to be something with Entered Stage Date.

Basically, sales reps are paid if a deal reaches stages 3-6

Hi @THayes3,

In that case, you would have to create a workflow that sets a date stamp into a custom date property when a deal reaches one of those stages. You can then use this date property to create your report.

Let me know if you need more details on how to set up such a workflow.

Best regards!

Thanks Karsten,

I figured I would need to create a workflow in the end, wanted to see if there was any other way using existing reports first. Much appreciated, thanks for confirming my thoughts.

Hi @THayes3, happy to help! If my reply helped you, please also mark it as an accepted solution. I’d appreciate it.

Have a great day!

i would like details on how to this workflow setup please

Hi @DYarkoni,

I wanted to refer you to this related post where @karstenkoehler explains how to create a workflow that sets a date stamp each time a deal reaches a new stage.

Hope this helps!

Best,
