[Report] Calls to Meetings Ratio, Meetings to Closure Ratio

Background - our business is B2B2C - therefore we mainly work with Deals and these Deals have associated companies and contacts. All activities are logged under the deal record

I need help in tracking the following metrics:

  • Calls to Meetings ratio
    • 40 Calls and 5 Meetings → 8 calls needed to book 1 meeting on average.
  • Emails to Meetings Booked Ratio
    • E.g.: 25 Emails and 10 Meetings → 2.5 emails needed to book 1 meeting on average.
  • Meetings to Closure Ratio
    • E.g.: 10 Meetings and 5 Closures → 2 Meetings needed to close 1 deal on average.
  • # of Pitches to Deal Closures
    • This is something a bit advanced. We are using Call & Meeting Types to track if a Meeting was of type = ‘Pitch’ and then need to use that to see how many deals were closed won.

Am I better off connecting HubSpot to BigQuery to track these metrics? I can’t seem to find an easy solution on HubSpot’s native reporting features.

Hi @sahil_maisuria1, I hope that you are well!
Thank you for checking with the Community!
I have found the solution from @TomM2 on this similar post “Reports with ratio on conversions” that might help you!
I’d like to invite a couple of subject matter experts to this conversation: Hi @Jnix284, @DanMYD and @Shadab_Khan do have other suggestions to help @sahil_maisuria1, please?
Also, if anybody else has anything to add and/or share, please feel free to join in the conversation :slightly_smiling_face:
Thanks so much and have a wonderful day and weekend!
Best,
Bérangère

@sahil_maisuria1 it would take a bit of configuration to make this work in HubSpot, you’d need custom calculated properties, stamped properties or a CCA to count the total number of activities, and then you’d have to decide how you want to report on this - is it an average? a line chart? etc.

If you’re already using BigQuery, it’d likely be easier to continue using it. You could also build the reports you’re looking for by connecting HubSpot to Databox if not. Otherwise, the easiest way to build this natively would require a developer to write a CCA (custom coded action) and someone with a technical background to build it out for you.

Unfortunately there isn’t out of the box reporting for conversion data like this, I suggest searching the ideas and adding your feedback there to reach the Product Managers for reporting.
