Report by Call and Meeting Type where a company has not had a particular type of meeting recorded

We have an SLA in place for our account management type for them to sit a specific type of meeting with a specific type of customer on a set frequency.

I can create a pivot based report to show me all customers in a given time period who have had 1 of the types of meetings we are tracking and the qty of that type.

I need the opposite though, I need to see all Companies (filtered by specific properties) who have not had a meeting where the call or meeting type os one of the ones i measure

They may have had sales interactions by the same person but I need to ensure htey have had customer service interactions as well so last activity date does not work for us, particularly a customer could ahve up to 4 account mangers assigned alligned to the services they have from us

You’re running into a common HubSpot limitation reports are great at showing what did happen, but not what didn’t.

Since you need companies that have not had a specific meeting type (regardless of other sales activity or multiple AMs), reporting alone can get messy. A cleaner approach is usually to stamp a company property (e.g., “Last Customer Service Meeting Date”) via workflow whenever a qualifying meeting is logged. Then you can simply report on companies where that date is unknown or outside your SLA window.

It turns the problem from negative activity reporting into straightforward property-based reporting much easier to manage at scale.

This can be solved through two simple segments:

  • Create a segment that filters for records who have had the associated meeting within the given date range
  • Create another segment of records that are not a member of the first segment

Since there isn’t any date for something that didn’t happen, you wouldn’t need a report. If you want to visualize these companies in a specific way, simply filter your report by membership in the second segment.
