Add a true unified email inbox inside HubSpot that mirrors a user’s Gmail/Outlook experience (all emails, all threads, folders/labels), so reps can work email fully inside HubSpot and assign any email to a Deal/Contact/Company without switching tools.
Problem:
Today, HubSpot email inside “Conversations” doesn’t function like a rep’s actual inbox. Reps still live in Gmail/Outlook to manage email volume, then bounce back to HubSpot to log/associate/assign messages—causing missed follow-ups, broken workflows, and poor CRM hygiene.
Proposed Solution:
Create a Personal Inbox view inside HubSpot that pulls in the user’s connected mailbox (Google/Microsoft) and provides a complete inbox experience:
-
All incoming/outgoing mail visible (not only “conversation” style threads)
-
Inbox triage actions (reply/forward, archive, search, labels/folders, unread, etc.)
-
CRM actions directly from the email:
- Create/associate Contact / Company / Deal / Ticket
- Assign email to an existing Deal or create a new Deal from the email
- Add tasks, notes, follow-ups, sequences, meeting links
- Apply logging rules per user/team (what gets logged by default)
Key User Stories / Workflows:
- As a rep, I open HubSpot and see my full inbox (like Gmail/Outlook) without leaving HubSpot.
- I click an email and associate it to a Deal in 1–2 clicks.
- If the sender isn’t a contact, I can create the Contact from the email panel and continue replying.
- If it’s a new opportunity, I can create a Deal from the email, auto-populate fields, and continue the thread.
- I can search my inbox (subject/sender/body) and filter by logged/unlogged, associated/unassociated, deal stage, owner, etc.
Minimum Requirements (MVP):
- Full inbox list with search + unread/read + archive
- View entire thread + compose/reply inside HubSpot
- “Associate to…” (Contact/Company/Deal) + “Create Contact/Deal” directly from email
- Logging controls (log all, log only associated, exclude domains, etc.)
Nice-to-haves:
- Folder/label support (Gmail labels, Outlook folders)
- Snooze, reminders, follow-up nudges
- Bulk actions (log/associate multiple emails)
- Shared inbox option later (team-level)
Why this matters (impact):
- Higher CRM accuracy (association happens as email is handled, not later)
- Fewer missed follow-ups (reps don’t context-switch between inbox + CRM)
- Faster pipeline movement (emails become deal actions instantly)
- Rep adoption goes up (HubSpot becomes the daily “home base”)
Competitive note:
Pipedrive’s in-CRM inbox experience made this seamless—HubSpot currently feels fragmented compared to that workflow.
