WhatsApp report filtered by user

Hi, I’m trying to figure out how to check the WhatsApp report, similar to what you see when you open the WhatsApp message template, because there it shows a number of messages sent and the report records it, but it only picks up 1 out of every 10 messages sent, exactly like that. I’d like to know how to make the report pick up messages sent by a specific user.

Hi! @LeonardoGrattao,

Welcome to the Community!! :tada:

Great question!! If your goal is to report on messages sent by a specific user, something worth looking into could be building a custom report and reporting on conversations.

A resources that may be able to point you in the right direction:

  1. Whatsapp message tracking
  2. Connect a WhatsApp channel to the conversations inbox

I’d also like to tag in some folks from the community to see if they have any tips and tricks on this!

Hey @Anton, @lnorden, @CarolinaDeMares – Do you have any suggestions for @LeonardoGrattao on this?

Thank you!!

Hello Sam, Anton, lnorden, and Carolina,

Nice to meet you, and thank you for getting back to me.

Regarding the matter, I created a report based on conversations, but I noticed a discrepancy in the data: out of 10 messages sent, only 1 was counted in the report. However, upon checking the WhatsApp message template used by the user, it shows that all 10 messages were sent correctly.

I am attaching images showing the difference between the received report and the WhatsApp message template for the same period.

How can I resolve this inconsistency in the count?

Best regards,

Hi there!

Thanks for the tag @stassey! Happy to see if I can help.

This sounds like a mismatch between filter properties and the given data, but unfortunately it doesn’t look like your attachments came through, I am not able to see them on my end.

Without the attachments for reference I can only make an educated guess but I would start with checking your Date Filter. HubSpot Event reports will auto apply an event timestamp filter by default, limiting the data shown.

If that is not the case, I would then check the rest of your filters against the 9 calls that are not showing and see if you can find a common denominator.

If you still have issues, try attaching your images again and I’ll take a look!

Hi @LeonardoGrattao, The native WhatsApp templates dashboard doesn’t have a per-user filter its filters are limited to language, category, connected account, and status, not owner.

To get sends filtered by a specific rep, build a custom report instead using the Conversations data source: filter by communication type = WhatsApp, then add an owner filter for that specific user. That gives you the per-user breakdown the native dashboard doesn’t offer.
