I deleted some records and stages 14 hours ago and these can not be retrieved. Im told by the freeware support person that I must have deleted them over 90 days ago. I did not. The documented instructions state that the records can be retrieved within 90 days. This is not correct, The documented instructions also state that the DEAL views are independant and a new view with changes will not impact the original view. This is also incorrect.
Hi @RTayler,
Yes, HubSpot does say records (like Contacts, Companies, Deals) are retrievable for up to 90 days after deletion — but only if they were soft-deleted.
If you’re not seeing them in the “Recently Deleted” section, it’s likely they were permanently deleted.
In that case HubSpot support won’t be able to recover them.
Best,
Jess
Hi @RTayler,
There are two types of deletes: regular and permanent.
For a regular delete, contacts will show up when you try to restore them: Restore deleted records
With a permanent delete, the overall idea is that they cannot be restored: Perform a permanent delete in HubSpot
The only way for these contacts to reenter your CRM would be via a form submission. If you still have the contact details, you could submit a form (minimum: email address) and the contact record would at least be recreated with that information. You will not be able to restore it entirely.
Best regards!
Hi @RTayler
Stages and records are two different things.
Where exactly are you looking for the deleted records - these can be retrived for up to 90 days, how to restore is described here.
Stages are a different matter, once deleted they are gone - simple as that.
I am hbvaing trouble making sense of what you are saying here “The documented instructions also state that the DEAL views are independant and a new view with changes will not impact the original view.” - can you try being a bit more descriptive please. How to create and save views is described here.
Frank
Late to this thread, but adding a couple of points for anyone who lands here after a similar loss, since the existing answers cover the soft vs. permanent distinction well.
The confusing part of HubSpot’s “90 days” promise is that several common actions skip the recycle bin entirely, so a delete from 14 hours ago can genuinely be unrecoverable: choosing the permanent/GDPR delete option (easy to pick in a bulk action without realizing what it does), and as Frank noted, anything that’s structure rather than records. Stages, pipelines, and properties have no recycle bin at all. That mismatch between “deleted yesterday” and “support says it’s gone” is usually one of these two, not a support error about dates.
So the recycle bin should be seen a safety net for one specific failure mode (a regular delete you catch within 90 days), not a backup. For anything you can’t afford to lose, keep an independent copy outside HubSpot, so a permanent delete or an expired 90-day window doesn’t mean the data no longer exists anywhere.
Options for this are (roughly in order of effort or cost): recurring CSV exports of your key objects (free, manual, easy to forget), an API script if you have dev resources, or a dedicated backup tool like SysCloud does HubSpot backups, and full disclosure, I’m a co-founder of ProBackup, which does the same ![]()
Whichever route: also keep a documented snapshot of your pipeline/stage configuration (that can’t be exported as records), and do one test restore so you know what actually survives the round trip.
Thank you for sharing this workaround!
I’d also recommend looking into getting your app approved for the HubSpot Marketplace. That way, other HubSpot users can discover and use it too. You can find everything you need to get started here: HubSpot App Marketplace.
