Reconciliation showing zero ending balance

We use the hubspot processing. In ‘payouts’ when we pull the rreconciliation report, it always shows the ending balance as zero and that just isn’t correct. Is there a setting that I need to change to see that?

Hey @RocxSteele - thanks so much for posting in the Community!
I’d like to tag in some experts in our Payments to see if they have any insight for us!
@danmoyle, @GeorgeBThomas, and @Alex_Elborn - any thoughts on why @RocxSteele may be seeing zero as an ending balance in all of their reconciliation reports?

Hi @RocxSteele. In HubSpot’s “manage payments” knowledge base and some other resources, here’s how I understand what you’re using, how it works, and what you’re asking.

The reconciliation report in HubSpot Payments tends to show an ending balance of zero in the ‘payouts’ tab, which is a commonly reported issue (you can weigh in here on the ideas forum). It doesn’t seem to be due to a settings error. The ending balance is meant to reflect the net result of all payouts, fees, refunds, and chargebacks for the selected period. If it always appears as zero and seems inaccurate for your situation, this could be because of how HubSpot structures its payout and reconciliation reporting, rather than a configurable user setting.

Here’s my understanding of how it works. The ‘ending balance’ shown in HubSpot’s payout reconciliation report is calculated as the final net balance after all payouts and debits for that period. In many cases, if every day’s transactions are settled and deposited, the system zeroes out the balance to reflect this settlement (sometimes leading to confusion). If daily debits exceed collected funds due to refunds or chargebacks, HubSpot will auto-debit your account and still show a net of zero, unless outstanding balances remain.

There are no user-facing settings in HubSpot to adjust how the ending balance displays in the payout reconciliation report. If Stripe is your processor (connected via HubSpot), you must use Stripe’s reporting tools for more granular balance tracking—HubSpot only displays summaries, not a rolling balance.

Here are a few troubleshooting steps I found.

  • Confirm you are viewing the intended payout period, as selecting incomplete periods may skew the balance calculation.
  • If you consistently see inaccurate zero balances, reach out to HubSpot support or post in their Community, as this may be a bug or a reporting limitation they are reviewing.
  • Download detailed payment reports for itemized transaction data and try reconciling manually to spot any actual discrepancies.

So no, HubSpot doesn’t offer a setting to modify the ending balance calculation or display for payment reconciliation reports and the zero balance is the result of their reporting logic, not a user-configurable parameter. Manual download/export of payment data is needed for further reconciliation if the built-in report isn’t meeting your needs. Hopefully that helps!

So how would I go about getting into the stripe account because when I set up the hubspot processing, I never manually made a stripe account to log into and have NEVER gotten a single piece of information from stripe about a log in.

@RocxSteele sorry about the curveball on that one - you didn’t set up a Stripe account, that’s true. While HubSpot’s payment system is built on the Stripe bones (like a white label thing I think), it’s not Stripe. For the Stripe advice, you’d have to switch to them. They integrate pretty seamlessly into HubSpot, but it is definitely a different tool.
