Quarantining URLs to prevent new company record creation

Hello - As a website url and email address domain is used in the HubSpot schema, I understand it is required field to create a new contact/email and or company.

As new contacts are imported, if that domain name is not in the current list, a new company record is added. This is problematic because there are a lot of variations of some big companies name/domain and this is leading to new company records being added that are not technically duplicates but are the same company. For example, Johnson & Johnson, Johnson & Johnson Services, J&J consumer, etc.

Is it possible to create a list of ‘quarantined’ domains so that new records will not be added that match the values in the quarantined list? Or is there any other way to prevent these unwanted contacts/company records from being created from a mass upload/import? Thank you

There currently isn’t any way to blocklist company domains. If there was, however, it wouldn’t be a huge help during your import process. HubSpot would return error messages which would be equally laborious to resolve as working through the duplicates tool, for example: Deduplicate records in HubSpot

If you don’t have a HubSpot Professional subscription, you might want to look at Insycle for an automated deduplication solution: HubSpot Data Standardization & Cleansing | Insycle

I think it would make more sense to look into an automated clean-up process here than blocking domains upon import.

Alternatively, you could create a company list in HubSpot that filters for those domains for easy deletion or merging. Deletion would be the closest the blocking. If you’re importing company records without associations to other objects, this would also be an option.

Thanks, Karsten - Can you elaboroate on what you alluded to around creating the list of unwanted domains for deletion/merging? Again, I’m trying to best understand what to do with similar/related domains (for instance Johnson & Johnson has numerous separate, similar domains, but I only want one J&J account on our company master), so these are not techincally ‘duplicates’

You could create a company list (Menu > Contacts > Lists), filtering for “Company domain name is equal to any of”. You would then add all URLs you’d like to block, full URL. For example, if you only want to accept jnj.com, you would potentially add jnjgermany.de, jnjvisioncare.de, jnjinnovation.com, jnjmedtech.com etc to that list.

(Instead of that, you could also consider using the parent/child feature: Add a parent or child company to an existing company record)

Hi Karsten - Thanks for the explanation. Once I have the list of domains I
don’t want, what can I do with them? Just use as a reference?
As for the parent/child feature, I could do that but wouldn’t the
accounts/domains still show up?
