Property to bulk mark contacts as "contacted"

Hi, is there any property i can choose while bulk editing uncontacted contacts to mark them contacted? as of now, i do log an e-mail with “contacted” to each and every one. very annoying with large companies and a team i already work with.

Hi @DrFu,

HubSpot takes care of this for you. It automatically maintains a property Last contacted: the last date and time a chat conversation, call, sales email, or meeting was logged for the contact.

If this property value is known, a contact was contacted already. If not, then this contact was not contacted yet.

This allows you to also sort by Last contacted.

(If you want to maintain this manually, you would create a new custom property for this purpose.)

Hope this helps!

Hello,

not what i mean, let me clarify:

What i like to achieve is clean sheet stats with teams i am already in contact with. i like to process “uncontacted” as “contacted”.

As of now, i log an E-Mail with every single one manually with the word “Contacted” to achieve that. “Contacted” in that case means i am already working with a team within the company and am not in need to contact any further individuals reaching my pipeline. I therefore want individuals that continue to come in as contacted with a property i can choose in bulk view. Otherwise it looks for the company as if i do not work those contacts, which in those cases is not necessary.

Hi @DrFu,

Sure, that can be achieved with a new custom property. I’d recommend that you choose the property type Radio select with two options, “Contact” and “Not contacted”. Once this property is created, it will appear alongside the default ones.

Best regards!

But will changing that property remove the individual from the “My uncontacted” List? As far as i understand changing a property is not enough, it needs to be a logged call, or logged E-Mail. (the property used here is “Last contacted”, and if that is “Unknown” they land in that list …) this property is not available under “Bulk Edit”.

Hello @DrFu,

That’s what I was referring to in my earlier post. The Last contacted property is automatically set by HubSpot, you cannot edit it. If you want to manually keep track of this, you would have to create your own property and create a new filtered view which you use instead of My uncontacted.

Best regards!

Our company tracks “Contacts not worked” in Dashboards and changing that workflow would make less sense (as the “uncontacted” category is useful) than changing the few very large clients and bulk change their contacts … so it seems this is not solvable. I just like to clean my list at the end of the day.

Hi @DrFu,

Could you explain again why filtering for “Last contacted is unknown” does not work?

Best regards

That is what the company tracks, but that property cannot be bulk changed. In order to change “Last contacted” from “unknown” to anything else, i have to manually record an E-mail conversation in the contact itself i call “contacted”. What i like to do is to edit that exact property from “unknown” to anything else in bulk edit, so they get removed from the “not worked” Dashboard / and the “Last Contacted: Unknown” filtered list.

to demonstrate how i solve this right now: E-Mails → Log E-Mail → Enter anything there, in my case “contacted” → Log Activity. I do this manually with dozens of contacts daily. This kind of logging (even if the customer isn’t contacted per se) removes them from the list. But this is time consuming.

Hi @DrFu,

You would need to create an additional custom property. On top of filtering by Last contacted, you could create any other property and filter out those contacts by that property.

You will not be able to bulk edit Last contacted. For what you’re trying to achieve, you have to create an additional “helper” field that you can bulk edit. Last contacted will still be maintained but now you can filter out contacts by values in your “helper” field.

If you want to stick to your current process, this is the only way.

Hope this helps.

Hi @DrFu,

You would need an additional custom property if you want to bulk edit. I don’t want to be the bearer of bad news, but HubSpot will very likely not make any changes and you need to adjust to the tool.

Best regards!
