has anyone built a team/ project tracker in HubSpot?
ideally see if anyone knows of any plug is OR built a custom object about…
once a project is closed, i want to staff that project with “consultants”. in the deal record, we have numbers of weeks on a project SO when we select one consultant, it blocks off that number of days from their availability so they can not be staffed on any other projects in that time frame.
ideally being able to see a calendar view as well with projects and consultants booked.
Hi @JKrantz,
Thanks for reaching out to the Community!
Great question! I’d love to loop in some of our experts to see if they have any knowledge or experience in building a team/project tracker in HubSpot or if they have any suggestions for you.
Hi @Lucila-Andimol, @trevordjones, @Jonas_De_Mets -Would you please share a suggestion with @JKrantz if you have one?
Thanks and happy Tuesday
Best,
Diana
Hey @JKrantz
if you have an Enterprise subscription you can handle Consultants as a custom object.
Then youn can associate deals or tickets (depending on where you are handling your onboarding process/projects) and asign hours to that deal/ticket.
Then on the deal/ticket you 'll need a custom property to put the amount of hours dedicate/needed.
You can then have a calculated property in the Consultant record that add all the dedicated hours on the deals/tickets or even if the total working hours of the consultant is 120hs for example, each deal/ticket 'd subtract from that total amout.
If you dont have a Custom Object for consultants
you can still have the calculated property but you can handle Consultants as contacts with a special label.
Hope this helps
Fantastic start, love the way you are thinking @Lucila-Andimol . That could work for one off projects but struggling to see if its scalable.
1) its not really hours but days, so i could use the way you described per day BUT how do i then see the availability after the project?
- we have a start date property ( say March 12th) and we have a field for the amount of days.. (say 3 days), then we have a calculated field that has an end date ( starte date+ days needed). SO this person needs to be blocked off from being added to other projects from 12th-16 THEN added back to the bullpen after that.
- as well as a view of all blocked off people/ projects for SR managers for a given month.
- the ultimate goal is to give our staffing group a better way of work to quickly see who is avalable at any given time.
Yes, so you can totally think in days instead of hours
then you can have some custom coded actions to asign a team/consultant once a new project is created
or custom cards with programming
and stablish those rules to see availiabitly/not available for a given month.
