Hello HubSpot Community,

I am having trouble connecting my work email to HubSpot via IMAP. I consistently receive the error “IMAP settings incorrect”, despite using the configuration provided by our IT department.

I have reviewed HubSpot’s official documentation, verified the IMAP/SMTP settings, confirmed that my email works correctly in Outlook and Webmail, and performed connectivity tests that confirmed the IMAP server is reachable. However, the error persists.

Other colleagues from the same organization have recently connected their email accounts successfully using IMAP and the same server configuration.

Has anyone experienced a similar issue? Are there any additional settings or troubleshooting steps I should check?

I would appreciate any guidance or suggestions.

Thank you!

If your colleagues are using the same settings and it works for them, I’d guess it’s something with your account rather than the server. Maybe ask IT to check if your IMAP login is being blocked? Also, do you have MFA enabled? That might be worth looking into.

Thanks, John, but this isn’t an isolated issue—more than one of us is having the same problem.

Hey @JH and @JohnBilow, jumping in here. Actually the error is the clue. “IMAP settings incorrect” means HubSpot couldn’t reach your mail server at all. A wrong password or an MFA block would show up as an authentication error instead. Your connectivity test also ran from your own network, not from HubSpot’s servers, so it doesn’t rule this out.

Since some colleagues connected fine and others didn’t, my guess is the server is blocking HubSpot. When several people retry from the same HubSpot IPs, a firewall or fail2ban rule can block them after the first few connect. Ask IT to allowlist HubSpot’s connecting IPs for the IMAP and SMTP ports, and to check whether those IPs got blocked around the time you tried. It’s also worth confirming that everyone who failed uses the exact same hostname and port (993 with SSL). Some orgs keep mailboxes on different servers. If your server uses an internal certificate, tick “Trust any certificate” under Advanced Options when you connect.

Once the connection goes through, if you see an auth error instead, ask IT to make sure IMAP/SMTP AUTH is turned on for your mailbox specifically. If it is and it still fails, try an app password.

And accept my answer as solution if it helps..

Cheers!

Good afternoon, I’m a colleague and I’m experiencing the same situation; there is only one person who can send the emails.

Hello @JH and @RBastidas,

Welcome to the Community and thanks for posting here!

@Alex_Boissonneault provided some great points here. _(thank you, Alex!_) The fact that this affects several people from the same organization points to something on the mail-server side, not your individual accounts. I’d suggest following up on all of the points that Alex has provided. If it still fails after these checks, share your IMAP host, port, and SSL setting.

Hope this helps!
