Problem: Global Logging defaults fail
HubSpot’s current email logging feature (via the Gmail/Outlook plugin) uses a rigid, one-size-fits-all approach. The global settings determine which records (Contact, Company, Deal, Ticket) are automatically associated for all users, leading to a significant conflict between teams.
Here, you can see why it is a problem:
- Support Team desires auto-log to Tickets, but not deals. The global default often ignores the existing Ticket association when a rep replies, forcing a manual re-selection on every outbound email. Incoming emails are logged, but replies lose the association.
- Sales Team needs auto-log to Deals, but not tickets. They must manually check the relevant Deal on every reply, as the global default may only cover Contact/Company.
Current Settings:
- Global Admin Settings: Dictating the same default record types for everyone.
- Individual User Settings: An all-or-nothing toggle for logging status (on/off).
Specialized teams are forced to manually check the correct record on every single reply, leading to incomplete history in the CRM.
Solution: Team Logging profiles
Implement a setting that allows the creation and assignment of team-based logging profiles to allow more granular control of auto-associations.
Super Admins would define and assign the profiles:
- Support: Contact, Company, Ticket (Ensures auto-logging to tickets.)
- Sales: Contact, Company, Deal (Ensures auto-logging to deals.)
- Standard: Contact, Company (Keeps the general, restrictive default for other users.)
The Benefit: Correctness and efficiency gains
Align the HubSpot plugin with team workflows and eliminate the need for constant manual checks.
Team profiles will:
- Guarantee a complete, accurate history.
- Eliminate manual errors.
