Hoping for some help. I have a free hubspot account. I have a phone answering company Patlive answer all my real estate leads. I want them to log those leads into my hubspot. Problem is Patlive has hundreds of remote employees with different devices. How can I give them access to my account without a code being generated to me everytime someone tries to log in to update my CRM?
Hi @LJarnigo,
There isn’t any limitation on how many users you can have in your HubSpot portal. It’s free. Here’s how you can add additional users to your HubSpot account.
With separate logins for each person, you can also restrict their access to certain sections of the tool.
Best regards!
I understand that you can add many users. The problem revolves around those users logging in from unrecognized devices and how to work around. The company I employ to answer my calls has hundreds of remote employees on different devices.
Example A) I give them my login credentials, or even make up an addition email for them to login with ABCDEFG@Gmails.com . The problem is an authentication code is generated to my device. I cannot relay this everytime a user is trying to login as I dont know where or who the company representative is.
Hi @LJarnigo,
If you add users, they will get their own login credentials. You should not be sharing your own credentials with other users. They will set up their own user account.
There isn’t any workaround here, as HubSpot does not want to share logins and authentication codes to be shared.
You need to invite users and they have to register to your HubSpot portal with their own email address and password.
Best regards
I would need to get a list from the answering service of every employee that answers calls email address. Could be hundreds. There has to be a better way.
Hi @LJarnigo,
Unfortunately not, credentials should not be shared.
You can bulk-invite users but you could also consider having the leads entered in a Google Sheet and syncing that sheet to HubSpot, via Zapier, for example.
Best regards!
I like that suggestion of the Google sheet but my tech knowledge is not what it needs to be as I have only heard of Zapier. I will try and research the subject but if you have any resources on how to do that to save me allot of time, let me know.
Hi @LJarnigo,
Sure, here’s more on the Zapier integration. Googling “HubSpot Zapier Google Sheets” will automatically take you to a Zapier page that will suggest popular Zaps to you, including creating new contacts from Google Sheets rows.
Hope this helps!
This will allow a contact to be created just like using the Hubspot form link but it will not allow anyone to create a deal in my pipeline which is the end result I am looking for.
With google sheets and hubspot forms I will still have to input the data from those to create a deal which is not useful since my phone company sends me a summary of the call with all of this information which I then have to manually enter to create a deal currently.
Hi @LJarnigo,
It seems like what you’re trying to accomplish can simply not be done with your subscription level in HubSpot and HubSpot’s security requirements unfortunately. HubSpot isn’t made for this particular use case.
Best regards
