Option to disable “used recently” and “frequently used” labels on activity playbooks

Today, when using activity playbooks (call/meeting playbooks), HubSpot automatically shows labels such as “used recently” and “frequently used” next to the playbook names.

For some teams, these labels do more harm than good because they:

  • visually clutter the list of playbooks;
  • can create choice bias (users tend to click on what the system highlights, even when there is a more appropriate playbook for that process);
  • are not needed in teams that already have a clear, standardized rule about which playbook to use in each type of interaction.

Suggested improvement

Add an optional setting (at portal or user level) to:

  1. Completely disable the display of these “used recently” / “frequently used” labels; or
  2. Allow choosing between:
    • showing all labels (current default);
    • showing only “used recently”;
    • not showing any usage labels.

This would give each portal more control over the UX and allow teams with stricter processes to keep the playbook interface cleaner and more neutral.

Impact for us at Reevia (a HubSpot Partner perspective)

We are a HubSpot Solutions Partner and we see the same need across multiple client portals in different industries. Concretely, this would help to:

  • Keep the playbook UI cleaner for sales and service teams;
  • Reduce distractions and the risk of using the “wrong” playbook just because it is labeled as “used frequently”;
  • Drive more consistent adoption of the right playbook for each step of the process across several customers.
